The Manager, Strategic Events , supports the planning, coordination, and execution of philanthropic events and meetings designed to engage donors and enhance the visibility of Hackensack Meridian Health and HMHF. Reporting to the Director of Strategic Events, the Manager plays a critical role in ensuring high-quality, well-executed experiences that align with the organization's philanthropic and stewardship goals. This role collaborates closely with internal teams, vendors, volunteers, and stakeholders to ensure event logistics are flawlessly managed and that all deliverables are completed on time, on budget, and in alignment with event objectives.

Requirements

  • Bachelor's degree from an accredited four-year college or university required.
  • Minimum of three (3) years of experience in event planning or fundraising events, preferably within a hospital, educational institution, or large nonprofit environment.
  • Proven experience managing logistics for mid- to large-scale events, including vendor coordination, program development, and on-site execution.
  • Demonstrated ability to deliver high-quality guest experiences; exposure to donor or VIP-facing events is preferred.
  • Strong project management, organizational, and time management skills, with the ability to handle multiple assignments and meet tight deadlines.
  • Strong interpersonal skills and ability to collaborate effectively with diverse internal teams, external partners, and stakeholders.
  • Resourceful and adaptable, with the ability to work independently and thrive in a fast-paced, team-oriented environment.
  • Detail-oriented with a high level of initiative and enthusiasm for mission-driven work.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Google Suite and/or Microsoft Office platforms.

  • Working knowledge of fundraising principles and practices is desirable.

Responsibilities

  • Executes event logistics for a range of philanthropic events including fundraising events, cultivation activities, internal meetings, board functions, and stewardship events.
  • Collaborates with the Director to develop event timelines, budgets, and task lists.
  • Manages day-to-day tracking of project milestones and deadlines.
  • Coordinates communication and logistics with internal departments, vendors, venues, and volunteers to ensure seamless execution of both in-person and virtual events.
  • Supports the development of event materials including run-of-show documents, speaker bios, scripts, name tags, signage, and digital collateral.
  • May draft remarks or talking points under the guidance of the Director.
  • Manages invitation lists and guest tracking, including overseeing RSVP processes and working with development staff to ensure donor data accuracy.
  • Assists in maintaining the master calendar of events and ensures timely coordination with other departmental and organizational events to prevent conflicts.
  • Oversees on-site event logistics, including vendor management, registration, volunteer coordination, and real-time troubleshooting to ensure high-quality execution.
  • Works closely with the Director on sponsorship benefit fulfillment and recognition strategies.
  • Supports stewardship efforts post-event, including donor thank-yous and sponsor reports.
  • Gathers and maintains event analytics and feedback to support evaluation of event success and future improvements.
  • Contributes to post-event debriefs and reporting.
  • Provides support for event committees, including scheduling meetings, preparing materials, taking notes, and following up on action items.
  • Collaborates with Communications and Donor Relations teams to ensure all event-related communications and branding are consistent and compelling.
  • Supports third-party event organizers with guidance and resources, as appropriate, based on established guidelines.
  • Works in a multi-disciplinary, team-oriented environment.
  • Other duties and/or projects as assigned.
