About The Position

Spotlight Media is a leading TikTok Shop Partner agency focused on scaling recognizable brands in social commerce. Requirements

  • Experience with Claude Code and process automation.
  • 5+ years in project management, operations, or chief-of-staff-style roles, ideally at a marketing, creative, or digital agency.
  • Deep, hands-on expertise with a project management platform (ClickUp strongly preferred; Asana, Monday, or Wrike experience is welcome). Must have personally built workspaces, automations, and dashboards from scratch.
  • Comfortable building/using AI functionality both within and outside of platforms.
  • A track record of managing complex, multi-stakeholder projects and ensuring their completion.
  • Excellent written and verbal English communication skills.
  • Ability to run meetings across teams and seniority levels.
  • Ability to communicate clearly with internal teams and, when needed, clients.
  • U.S.-based.
  • Comfortable working fully remote and being self-directed.
  • Comfortable being firm, pushing people to deliver, and enforcing processes respectfully.

Nice To Haves

  • Experience scaling an ops or PM function and building a small team.
  • Exposure to influencer marketing, creator programs, e-commerce, or TikTok Shop.
  • Six Sigma, PMP, or similar process or quality background.

Responsibilities

  • Implement project management discipline across every department.
  • Act as a right hand to the founders, helping launch and run new 0-to-1 initiatives as the company scales.
  • Audit how work flows through the company by interviewing department heads and team members to map roles, responsibilities, and recurring tasks.
  • Make the project management platform (ClickUp) the central source of truth, architecting the workspace end to end.
  • Build automations for client onboarding and offboarding, employee onboarding and offboarding, weekly client tasks, and retainer and content workflows.
  • Partner with Senior Account Managers to organize their pods, structure their teams, and ensure every account project is tracked and visible.
  • Establish a cadence of standardized status updates, clear task ownership, and a system to identify slipping tasks.
  • Manage end-to-end execution of projects across partners and teams.
  • Build and maintain detailed project timelines, workflows, dependencies, and launch plans.
  • Act as the accountability layer across account management, the creator retainer division, and in-house content.
  • Chase aging tasks and hold owners accountable, acting as a respectful but firm 'stickler' for deadlines.
  • Help founders take new initiatives from 0 to 1, standing up new offerings and ensuring execution.
  • Build and lead the project management / operations team as the company grows.
  • Run leadership and portfolio cadences, including prepping agendas, tracking KPIs and follow-ups, and ensuring decisions translate into completed work.

Benefits

  • Salary: $100,000 - $140,000 base, depending on experience, with room to grow as you take on team leadership.
