About The Position

Vivodyne is seeking a Senior Program Manager, Client Delivery to lead the operational delivery of complex client programs across Vivodyne’s scientific, technical, and commercial teams. This person will serve as a primary internal coordinator and, for assigned accounts, a client-facing program lead. They will translate work plans into executable schedules, maintain clear communication, surface risks early, and ensure delivery commitments remain visible across teams. This is a full-time, on-site role based in San Francisco, working closely with a bicoastal delivery team, with occasional travel to our Philadelphia site.

Requirements

  • 5+ years of experience leading complex, cross-functional programs in biotech, pharma, life sciences, CRO/CDMO, healthcare technology, or a similarly technical client-delivery environment.
  • Strong client-facing communication skills, including the ability to manage senior external stakeholders and communicate schedule changes, risks, and trade-offs clearly.
  • Demonstrated ability to develop and maintain detailed project plans, milestones, dependencies, resourcing views, and operating cadences.
  • Proven track record of driving complex programs through execution and delivery, managing scope, timelines, budgets, risks, and competing priorities.
  • Comfort working with scientific teams and technical subject matter without needing to be the scientific owner.
  • Experience coordinating and managing deliverables such as study plans, work plans, technical reports, presentations, data packages, and client communications.
  • Strong organizational and program-management systems skills; experience with ClickUp or comparable project-management tools is preferred.
  • Sound judgment under ambiguity and an ability to move work forward across competing priorities.
  • Polished written and verbal communication skills for both technical and executive audiences.

Responsibilities

  • Own end-to-end delivery for a portfolio of complex client programs, accountable for delivering against agreed scope, timelines, budget, and client commitments from kickoff and work-plan alignment through execution, data delivery, closeout, and subsequent phases. Programs may span multiple technical workstreams, sites, external partners, and extended timelines.
  • Act as a consistent client-facing program lead for assigned accounts, establishing communication cadence, coordinating key decisions and follow-ups, providing clear status updates, and raising schedule or deliverable risks early.
  • Lead client kickoff and delivery planning, ensuring work plans, dependencies, ownership, collaboration workflows, and legal or operational prerequisites are aligned before execution.
  • Coordinate data and documentation delivery, establishing clear expectations, ownership, and timelines for technical reports, assay and methods documentation, data packages, presentations, and client communications.
  • Build and maintain integrated program plans covering milestones, dependencies, study schedules, resources, owners, risks, and delivery dates, providing practical execution guidance when programs compete for shared resources.
  • Coordinate cross-functional execution across biology, operations, microfabrication, hardware/software, data analysis, business development, and leadership. Translate program objectives and requirements into clear internal context, decisions, and next steps.
  • Manage scope, capacity, and schedule trade-offs, identifying constraints across resource availability, product readiness, staffing, materials, technical development, client requirements, and operational capacity; facilitate decisions and communicate their implications.
  • Run portfolio-level delivery operating rhythms, including weekly reviews and leadership updates that surface priorities, risks, decisions, and cross-team dependencies.
  • Maintain a reliable system for program and portfolio management, ensuring project plans, ownership, dependencies, risks, and status remain current and visible across teams.
  • Coordinate internal R&D and tissue roadmap execution in partnership with biology and product leads, translating scientific priorities into executable plans, milestones, and timelines. Balance internal model and capability development with client delivery commitments.
  • Partner with BD and leadership on feasibility, resourcing, pricing, and delivery planning for prospective and expanding client work, helping evaluate scope alternatives, timelines, cost inputs, and operational feasibility.
  • Improve delivery processes and knowledge transfer by documenting repeatable workflows, clarifying ownership, creating training materials, and ensuring critical program and account knowledge is transferable across the team.
  • Lead and champion program management best practices, creating consistent ways of working across teams for planning, execution, risk management, communication, and delivery.
