The Senior Payroll Tax Analyst is responsible for enterprise-wide payroll tax compliance, governance, and risk management across all U.S. jurisdictions. This role serves as the subject matter expert (SME) for payroll tax, with ownership of payroll tax processes across Workday (system of record) and ADP SmartCompliance (filing and remittance platform), including responsibility for end-to-end payroll tax data integrity from calculation through filing. The position operates with a high degree of independence and is accountable for ensuring compliance, minimizing financial risk, and supporting complex payroll initiatives including acquisitions, divestitures, and system changes.

Requirements

  • Bachelor’s degree in Accounting, Finance, or related field preferred (or equivalent experience)
  • 5+ years of multi-state payroll tax experience required
  • Experience supporting high-volume, multi-entity payroll environments
  • Experience with payroll tax platforms such as ADP SmartCompliance or similar
  • Experience working with payroll systems (Workday preferred)
  • Strong experience in payroll tax reconciliation, compliance, and audit support
  • Strong knowledge of federal, state, and local payroll tax regulations
  • Strong analytical and problem-solving skills with ability to operate independently
  • Experience managing payroll tax audits, notices, and agency communications
  • Ability to assess risk and make sound compliance decisions
  • Strong understanding of payroll tax data flow across systems, including payroll and tax filing platforms
  • Advanced Excel skills and ability to analyze large data sets.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rates, ratios, and percentages and to draw and interpret graphs.
  • Frequent use of Outlook, Word, Excel, graphics, etc.
  • Ability to create, maintain and incorporate functions into Word documents, Excel spreadsheets, databases, and Powerpoint presentations to support business objectives.
  • Strong attention to detail and ability to manage multiple priorities in a high-volume environment.
  • Handle multiple tasks or projects simultaneously with moderate complexity.
  • Effective communication skills with ability to partner cross-functionally (Payroll, HRIS, Finance, Tax).
  • Regularly uses moderately complex oral and written skills. May train others in functional areas, interact with others and make presentations to department or middle management
  • Ability to identify process improvement opportunities and drive operational efficiency.

Responsibilities

  • Ensure compliance with all federal, state, and local payroll tax regulations across all jurisdictions
  • Oversee the accurate and timely filing and remittance of all payroll tax returns and deposits
  • Serve as subject matter expert for payroll tax across Workday (system of record) and ADP SmartCompliance (filing and remittance platform)
  • Ensure accurate employee tax setup, configuration, and payroll tax data integrity within Workday
  • Oversee and validate integration between Workday and ADP SmartCompliance to ensure accurate data transmission for filings and payments
  • Analyze payroll tax funding, liabilities, and variances; investigate and resolve discrepancies
  • Perform and review payroll tax account reconciliations and ensure alignment with financial reporting
  • Manage and respond to payroll tax notices, inquiries, and agency communications
  • Lead payroll tax audit support activities and maintain audit-ready documentation in support of SOX and regulatory requirements
  • Manage multi-state tax registrations, account setup, and jurisdictional compliance requirements
  • Support payroll tax activities related to acquisitions, divestitures, and entity transitions
  • Monitor and interpret changes in payroll tax legislation and ensure timely implementation
  • Partner with Payroll, HRIS, Finance, and external providers to resolve tax-related issues and improve processes
  • Develop and maintain payroll tax reporting and analytics
  • Identify opportunities for process improvement, standardization, and automation
  • Assume other duties as assigned
