The Senior Payroll Specialist is responsible for the accurate and timely processing of multi-state payroll for the organization, ensuring full compliance with federal, state, and local regulations. This experienced professional serves as a subject-matter expert on payroll operations, resolving complex pay issues, supporting audits, and partnering with Human Resources, Finance, and Accounting to maintain the integrity of payroll data. The role requires strong technical proficiency with payroll and timekeeping systems, meticulous attention to detail, and the ability to handle confidential information with discretion.

Requirements

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Business Administration, Human Resources, or a related field preferred.
  • Minimum of five (5) years of progressive payroll processing experience, including multi-state payroll. Experience with Union Payroll preferred.
  • Working knowledge of payroll and timekeeping systems (e.g., ADP, Workday, UKG, or comparable platforms) and proficiency with Microsoft Excel.
  • Demonstrated knowledge of federal, state, and local wage and hour laws, payroll tax requirements, and garnishment processing.
  • Strong attention to detail, organizational skills, and the ability to handle confidential information with a high degree of discretion and professionalism.

Nice To Haves

  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) through the American Payroll Association.
  • Experience processing payroll in a high-volume, multi-entity, or unionized environment.
  • Experience supporting payroll system implementations, upgrades, or process-improvement initiatives.
  • Familiarity with general ledger reconciliation and integration between payroll and accounting/ERP systems.

Responsibilities

  • Process accurate and timely multi-state payroll on a scheduled basis for all employees, including hourly, salaried, and commissioned staff, ensuring correct calculation of wages, overtime, bonuses, and deductions.
  • Review and validate timekeeping data, resolving discrepancies in hours, leave, and attendance in partnership with managers and the Human Resources team.
  • Maintain compliance with federal, state, and local payroll regulations, including wage and hour laws, tax withholding, garnishments, and year-end reporting (W-2, 941, and related filings).
  • Administer payroll-related deductions and contributions, including benefits, retirement plans, and tax levies, ensuring proper setup and reconciliation each cycle.
  • Reconcile payroll accounts and prepare reports for Finance and Accounting, supporting month-end and year-end close as well as internal and external audits.
  • Serve as the primary point of contact for employee payroll inquiries, researching and resolving complex pay issues with professionalism and discretion.
