About The Position

The Senior Payroll Manager is responsible for overseeing and coordinating the Masonic Entities payroll operations in an outsourced payroll environment. This role serves as the primary internal payroll subject matter expert, ensuring payroll accuracy and communicates to the Controller all problems and concerns relating to Payroll.

Requirements

  • Competent in the creation and use of spreadsheets (Microsoft Excel), use of word processing (Microsoft Word)
  • Excellent verbal and written communication skills
  • Ability to handle multiple tasks, set priorities and meet deadlines
  • Must be extremely well-organized and with great attention to detail and confidentiality
  • Strong organizational, problem-solving, and analytical skills
  • Demonstrated knowledge of payroll trends
  • Working knowledge in Workday, OSV
  • Current knowledge of applicable federal and state wage and hour laws and taxation
  • AA degree in accounting or business, or equivalent and at least 10 years of experience in Payroll processing

  • Certified Payroll professional (CPP) a plus and highly desirable

Responsibilities

  • Coordinate payroll calendars, deadlines, and data submissions
  • Review /verify timekeeping information for all employees.
  • Review, analyze and verify payroll reports and variance analyses for accuracy and completeness.
  • Review and reconcile payroll reports to identify and resolve discrepancies e.g. compare employee gross pay from prior payroll; check hours, OT calculations
  • Research, analyze and resolve difficult or advanced technical problems or questions and discrepancies related to payroll. Escalate issues as needed
  • Generate payroll funding report and request payroll funding
  • Handle FSA benefit upload to Igoe portal every pay period
  • 401k Integration, funding, review and troubleshoot.
  • 401k Annual True up calculation
  • 457B calculation, setup and monitoring
  • Handle and manage PTO usage and analysis
  • Provide technical guidance on Workday-payroll system functionalities and troubleshooting
  • Ensure integration of payroll systems for seamless data (Workday-Fidelity)
  • Coordinate and interact with federal and state agencies on specialized issues pertaining to employee compensation and deductions.
  • Ensure compliance with company policies, legal requirements and Federal, State and local wage and tax regulations.
  • Stay abreast of changes in payroll laws and regulations and ensure the organization's payroll practices remain compliant.
  • State payroll account application for out-of-state (California) employees.
  • Review of the quarterly payroll tax returns with OSV
  • Review of the W2 and audit support.
  • Ensure 401k and 457B benefits are within the IRS requirements
  • Lead the 401k audit
  • Generate and analyze payroll reports for internal and external reporting
  • Submit the PBJ report timely.
  • Send the monthly PBJ report to the VP-Finance Controller, SNF administrator and/or Director of nursing for review before filing.
  • Ensure that PBJ report is successfully submitted.
  • Access DHCS portal and review the submitted report.
  • Generate the final PBJ reports from the DHCS portal
  • Create ad-hoc reports or understand various Workday payroll-related reports; from pay calc to settlement to funding to bookkeeping (employee allocation etc)
  • Manage and lead payroll specialist, providing guidance, training, and support.
  • Conduct regular performance reviews and ensure the team's continuous professional development.
  • Coordinate schedule and conduct training sessions, if needed, to explain and/or update information regarding payroll and timekeeping policies and procedures
  • Communicate effectively with employees regarding payroll-related matters, addressing inquiries and providing assistance when needed.
  • Maintain/improve employee satisfaction regarding their payroll.
  • Timely and accurately respond to employee questions or concerns.
  • Work closely with – HR to maintain accurate payroll and employee records, and to address any system-related issues and implement improvements.
  • Accounting to ensure proper booking and assignment of earning and deduction codes
  • OSV to ensure timely processing of payroll
  • Assist with external audits, special projects and admin tasks related to Payroll
  • Performs other tasks assigned by the VP Finance, Controller
