About The Position

Cetera is currently seeking a Senior Office Services Associate to join our team in St. Cloud, MN. This role focuses on continuous process improvement, with the goal of increasing efficiency and delivering an exceptional experience for our advisors and clients. The ideal candidate demonstrates a strong sense of ownership, proactively identifies opportunities for improvement, and sees issues through to completion and resolution.

Requirements

  • Must have excellent written, verbal, and oral communication skills.
  • Proficiency in Microsoft Office (Word/Excel/Outlook) is required.
  • Ability to keep accurate accounts and records of documentation for auditors.
  • Ability to meet multiple deadlines at one time

  • Ability to lift 35 to 50 lbs

Responsibilities

  • Ensure proper access to back-office system which includes, quarterly review of access and maintaining proper documentation for audits.
  • Create B1’s, Br Tracks with back-office system and maintain proper documentation for audits.
  • Participate in DR testing with back-office vendor – twice a year.
  • Maintains inventory of employee/guest/contractor/visitor badges.
  • Maintains security access control system with accurate employee status, including badge access creation, and monthly, quarterly review of access for Cetera suites and building access.
  • Maintain accurate building floor plans and associate headcount by helping with monthly audits.
  • Comply and assist in reviewing and improving appropriate policies, procedures, safety rules, and regulations.
  • Assist BCP Coordinator in updating quarterly documents, testing business continuity plans throughout the year and keeping excellent records of completion.
  • Collaborate with various departments in retrieving required paperwork for completion of BCP testing.
  • Monitor various email boxes and take appropriate action as required.
  • Assist facilities coordinator in ordering supplies, responding to employee requests and inquiries.
  • Maintain appearance of Cetera Suites.
  • Set up purchase requisitions through Oracle Procurement System when required.
  • Process incoming invoices when required.
  • Perform general office work, such as word/excel, loading documents into filing, loading documents into docupace, and operating copy machines.
  • Assist with a variety of scheduled and unscheduled projects occurring in the department at any given time.
