About The Position

The Department of Biochemistry and Molecular Biology has an exciting opportunity for a full-time Senior Manager, Programs to work Hybrid in Miami, FL. The Senior Manager, Programs oversees the day-to-day administrative management of assigned program(s) within the department and works to ensure the successful implementation of all initiatives. The incumbent operates with the goal of delivering high-quality programs to the University faculty and staff and other key stakeholders. Furthermore, the senior manager, programs serve as the liaison to leadership, faculty, students, and staff. The Sr. Manager of Programs for the BMB Executive PHD Program provides programmatic and administrative support to the Department of Biochemistry and Molecular Biology. The Department currently consists of approximately 25 primary faculty along with 30 secondary faculty members. The Executive PHD program currently has 25 students who are seeking a PHD from our University, but who also hold working positions in pharma and industry companies that are located across the United States. Except for several yearly visits to the Department, all the work towards their degrees is handles via online courses as well as benchwork in their respective company labs. Since its inception in 2013, The BMB Executive PHD has grown into a robust program that generates substantial revenue for the Department, School and Institution. The Sr. Manager of Programs of the Executive PHD Program reports directly to the Senior Administrative Officer of the BMB Department and is expected to handle all matters; including but not limited to the duties below: Day to day administration of the program Managing the marketing and advertising campaign Management and upkeep of admission files; student applications, records and documents Management and logistical support of all Annual Departmental Student Events Coordination and management of student meetings; examinations, oral presentations, qualifying exams, defenses and graduation (clearances) Acting as Liaison between central offices; General Counsel, Technology Transfer, Student Financial Aid, Student Accounts, the Graduate School.) , our faculty and students. Analysis of program to ensure compliance with University Accreditation Offices Strategic Management of Program. Will make recommendations to Program Directors, Dept Chair and Sr. Administrative Officer to ensure continuation and success of program Will act as Program Director on behalf of Dr. Lee and Dr. Gong when they are not available Grant administration (Pre award) support for all program Training grant proposals Creation/Drafting and Management of all IP agreements with participating companies/industrial partners and UM General Counsel, Office of Technology Transfer, and the office of Contract Administration Business Services. Will monitor all program expenses as well as ensure all revenues are collected in a timely manner. Will reconcile program income to credits students are registered for Will contact student employer in the event payments need to be arranged and will assist student in entering a payment plan with the University of Miami Will assist in annual budget creation during preparation of fiscal year budgets Will negotiate with vendors who provide services to our program to ensure that our program is obtaining the best service and price for work that is being outsources (example; Social Media advertising of program…) Will provide administrative support to BMBMS/MBA Program This is a core job profile description and is not reflective of all duties that may be assigned to a specific position in each individual department. Requirements

  • Bachelor’s Degree in relevant field required
  • Minimum 5 years of relevant experience

Responsibilities

  • Prepares, maintains, and reports on program effectiveness.
  • Assists with managing program budget by monitoring expenditures.
  • Stays abreast of market trends and legislation impacting program functions.
  • Checks, verifies, organizes, and prepares grants, procurement, and other program-relevant documents.
  • Supervises, monitors, trains, and evaluates program staff members to ensure compliance with applicable policies and procedures.
  • Coordinates logistics for program events and activities.
  • Works with other departments to increase program awareness.
  • Identifies new needs and emerging issues and develops new programs, initiatives, and resources.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with university policies and procedures. Ensures employees are trained on controls within the function and on university policy and procedures.
