About The Position

NYU Langone Health is seeking a Senior Manager, Procedure Scheduling to oversee teams of schedulers and lead projects related to procedure and case scheduling across designated specialties or ambulatory settings. This role is crucial for ensuring efficient and accurate scheduling workflows that align with Faculty Group Practice (FGP) objectives. The Senior Manager will report to the Senior Director, FGP Ambulatory Operations and will be responsible for ensuring patient access to care through timely scheduling, promoting excellent customer service, and managing teams responsible for procedure scheduling. This individual will serve as an operational leader and subject matter expert in scheduling and optimization, working collaboratively with clinical, administrative, and operational stakeholders to improve performance, optimize resources, and support consistent scheduling operations across the organization.

Requirements

  • Bachelor's degree plus 7 years minimum experience, or an equivalent combination of education and experience in health care operations.
  • Ability to manage and grow a team to support the organization's goal of improving patient access.
  • Excellent interpersonal, analytical and problem-solving skills.
  • Strong customer service orientation, written and verbal communication skills.
  • Needs to be able to see the bigger picture and come up with recommendations and plans for accomplishing goals.

Nice To Haves

  • Experience scheduling surgeries and cases in Epic.

Responsibilities

  • Develops relationships and works in partnership with key FGP stakeholders to standardize FGP procedure scheduling by specialty, location or other. Key relationships include FGP operations, patient access centers, CBO, peri-op, physician and administrative leaders of specific specialties.
  • Manages institutional procedure scheduling initiatives from a quality, training, and staffing perspective. New projects to standardize procedure scheduling are expected and would be the responsibility of the Senior Manager.
  • Manages and reviews the teams workload, productivity, timeliness of outreach to patients who need procedures and provides feedback to physician lead when changes to the physician workflow are required.
  • Ensures workflows, for example, adding on urgent cases, reflect input from physician lead(s) and peri-op. Identifies improvements that can be made to workflows, as well as operational inefficiencies; recommends solutions, and may lead implementation.
  • Tracks all relevant metrics to see that procedures/cases are scheduled timely in Epic, in accordance with departmental requirements, provider availability, and resource capacity.
  • Works to prevent and reduce patient cancellations by making sure pre-procedure workflows are in place, including timely insurance authorization, med clearance, and other as defined.
  • Collaborates with the FGP, physician practices, patient access centers, procedural areas, CBO, and MCIT to align scheduling processes and operational needs.
  • Monitors and manages productivity data, call volume and handling data, service level performance and other key call queue and performance measures, to plan and manage staffing needs.
  • Supervises staff, including hiring, onboarding, training, coaching, and performance management. Makes sure the team is educated and trained on specialties and procedures expected to schedule. Creates training materials as needed.
  • Supports optimization of provider templates, ensuring procedural space is used efficiently.
  • Ensures compliance with organizational policies, scheduling protocols, and documentation standards.
  • Oversees and manages procedure scheduling teams ensuring that procedures are scheduled efficiently, and that our patients receive the best patient experience and timely access to care.
