About The Position

The Senior Manager of Facilities oversees maintenance and facilities operations for a growing nationwide portfolio of more than 60 outpatient clinics. The role manages service providers, work-order performance, preventive maintenance, emergency response, facilities budgets, lease and warranty obligations, and facilities support for new clinic openings. Success requires minimizing clinic downtime, controlling costs, and delivering a consistent, safe environment for patients and employees. Ability to travel 25-40% of the time, to include weekends, as required for clinical set up and scope reviews. Ideal candidate will be located with in close proximity to our corporate office in Tampa or located near an airport easily accessible to travel to our markets.

Requirements

  • Minimum of 5 years in facilities management with increasing responsibilities managing a portfolio of at least 50 locations.
  • Minimum of 2 years managing people.
  • Bachelor’s degree in engineering, construction management, facilities management or equivalent study.
  • Minimum of 3 years utilizing facility management platforms for day-to-day ticket and vendor management.
  • Possess basic skills for installing small furnishings, fixtures, equipment, and artwork as needed.
  • Strong leadership and relationship building skills.
  • Strong interpersonal skills and problem-solving ability.
  • Excellent verbal/written communication and presentation skills.
  • Proven record of providing excellent internal customer service.
  • Knowledge of Microsoft Suite (Excel, Word, PowerPoint) and ability to analyze data utilizing these and other programs.

Responsibilities

  • Manage vendor performance and outcomes through reporting, service level agreements, budget compliance, quality control, and corrective-action planning.
  • Conduct quarterly business reviews with key vendors and recommend changes in service providers when performance, cost, or business needs warrant.
  • Partner with Operations, Supply Chain, IT, and other internal stakeholders to coordinate facility services, minimize clinic downtime, and improve internal customer satisfaction.
  • Manage and coordinate facilities-management services for reactive repairs, preventive maintenance, space planning, and other ongoing facility needs across the clinical portfolio.
  • As the leader of the Facilities team, own, administer, and continuously improve the facilities ticketing system, including workflows, prioritization, data quality, reporting, user adoption, and system enhancements, to increase operational visibility, strengthen accountability, and improve work-order response and resolution performance.
  • Develop, submit, manage, and report on facilities budgets, including budget variance, cost savings, monthly performance, annual planning, and clinic level expenses.
  • Develop, implement, and monitor preventive-maintenance programs to support building reliability, regulatory compliance, and clinic uptime.
  • Track and report facilities KPIs, including vendor SLA performance, work-order response and resolution times, preventive-maintenance completion, budget performance, cost savings, internal customer satisfaction, and new-clinic opening readiness.
  • Develop and implement facilities policies, processes, and procedures in partnership with key stakeholders.
  • Coordinate warranty claims, lease obligations, landlord responsibilities, and related cost allocations.
  • Develop actionable and measurable career development plans for each direct report and conduct regular discussions to review progress, performance, and development opportunities.

  • Select, contract, schedule, and manage vendors required to support facilities preparation, ongoing maintenance, and new-clinic openings.
  • Coordinate facilities-readiness activities for new clinics, including vendor mobilization, inspections, repairs, equipment installation, and completion of outstanding items.
  • Provide onsite support to Operations and other internal teams during clinic openings.
