About The Position

The Senior Manager for Collections Information leads the Museum’s Collection Information team and is responsible for the strategic stewardship, accessibility, and integrity of the Museum’s collection information systems. This role involves developing and overseeing the implementation of systems of record for Museum art object data, ensuring alignment with institutional goals, industry standards, and evolving digital practices. The position requires partnering with internal and external stakeholders to plan, implement, and integrate new and existing systems, and working closely with Museum staff to design and support workflows related to administrative and collections activities. The Senior Manager will assign and prioritize work, define roles and responsibilities, and report progress, risks, and initiatives to executive leadership.

Requirements

  • Minimum 10 years of experience in collection documentation and collection management systems.
  • Bachelor’s degree required.
  • Advanced proficiency in supporting, upgrading, and maintaining The Museum System (TMS) collections management system by Gallery Systems.
  • Advanced proficiency in SQL Server, SQL Server Reporting Services, and Crystal Reports.
  • Demonstrated leadership experience managing staff and fostering team development.
  • Proven ability to lead organizational change while respecting long-standing institutional practices.
  • Excellent analytical, organizational, written, and verbal communication skills.

Nice To Haves

  • Master’s degree preferred, ideally in Art History, Library Science, Museum Studies, or a related field.
  • Experience working in a museum, collecting institution, or comparable environment preferred.

Responsibilities

  • Lead and manage the Collection Information team, ensuring effective operations, professional development, and alignment with Museum priorities.
  • Work directly with colleagues from Curatorial, Conservation, Scientific Research, Registrar’s Office, and other departments on object-related data, cataloguing, reporting, and workflow initiatives.
  • Oversee data standards, systems, and technologies used to catalog, archive, manage, and disseminate the Museum’s collection information, data, and related digital content.
  • Manage user support activities, training programs, database maintenance, and system upgrades.
  • Establish and maintain institutional standards and best practices for collection documentation and cataloging.
  • Define and implement standardized workflows for art object-related administrative procedures, including acquisitions, loans, exhibition planning, and inventory control.
  • Advise and support projects that utilize collection information from TMS, collaborating with Technology, Imaging, Emerging Technologies, and Digital department staff on the development, maintenance, and use of the online collection and other electronic resources.
  • Serve as the primary liaison with assigned software vendors and external partners.
  • Manage project schedules, budgets, and resource allocation for the Collection Information team and related initiatives.
  • Report regularly to executive leadership on progress, performance metrics, and strategic opportunities.
