About The Position

The Senior Manager, Event Logistics & Operations is responsible for planning, coordinating, and executing all logistical aspects of major institutional events and ceremonies. This role oversees vendor management, event production logistics, floorplans, seating, contracts, timelines, and on-site operations to ensure successful event delivery. Working collaboratively with internal stakeholders and external partners, the Senior Manager translates event requirements into comprehensive operational plans and manages execution from planning through event completion.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Five to eight years of experience in event management, event operations, hospitality, or a related field.
  • Experience planning and executing large-scale events.
  • Demonstrated vendor management and contract administration experience.
  • Strong project management, organizational, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.

Nice To Haves

  • Experience in higher education, nonprofit, or institutional event environments.
  • Experience supporting commencements, galas, conferences, or other large-scale ceremonies.
  • Familiarity with event management and venue scheduling systems.

Responsibilities

  • Lead logistics planning and execution for major institutional events and ceremonies.
  • Develop and manage event workback schedules, production timelines, and operational plans.
  • Coordinate all event vendors, including audiovisual, catering, rentals, staging, décor, transportation, and related service providers.
  • Manage vendor contracts, proposals, purchasing processes, and related documentation.
  • Create and oversee event floorplans, layouts, room configurations, and seating plans.
  • Coordinate event setup, load-in, event-day operations, and load-out activities.
  • Manage grad school commencement logistics, including graduate processes, faculty needs, guest accommodations, and academic attire (regalia) coordination.
  • Conduct site visits and logistics reviews to ensure operational readiness.
  • Collaborate with campus partners, vendors, and event stakeholders to support successful program execution.
  • Identify and resolve operational challenges while ensuring adherence to timelines and institutional standards.
  • Support budget management through vendor oversight and effective resource coordination.
  • Provide on-site leadership and troubleshooting during events.
