About The Position

This role is responsible for overseeing and managing various administrative functions within the Ports & Terminals operations in Mundra. The Senior Manager will lead infrastructure and facility upkeep, manage budgets, ensure vendor compliance, oversee event and facility management, reinforce safety and compliance, drive process excellence, manage medical and welfare administration, and oversee CSR initiatives and asset control.

Requirements

  • Bachelor’s degree in business administration, Facility Management, Engineering, Hospitality or a related field.
  • 10–15 years of relevant experience in administration and facility management.
  • At least 5-6 years in a leadership role.
  • Strong knowledge of facility systems, procurement, and vendor management.
  • Familiarity with statutory compliance and safety regulations.
  • Experience in managing multi-location facilities.
  • Excellent leadership and team management skills.
  • Strong negotiation and communication abilities.
  • Attention to detail with strong problem-solving capabilities.
  • Proficiency in MS Office and facility management software.
  • Ability to handle high-pressure situations and make quick decisions.
  • Teamwork, leadership, and motivational skills.
  • Understanding of soft and hard service delivery.

Responsibilities

  • Ensure 100% utilization of planned Capex budgets within defined timelines.
  • Lead infrastructure and facility upkeep projects including guest houses, admin stores, and asset management.
  • Drive refurbishment and scrapping of old vehicles and equipment per policy and approval norms.
  • Manage township accommodation allotments aligned with company housing policy.
  • Review and finalize annual Admin Opex and Capex budgets, monitor utilization and savings.
  • Lead branding, signage, and infrastructure consolidation across Port, CFS, and Township.
  • Ensure vendor bill payment compliance and timely processing.
  • Enforce procurement protocols — no work beyond approved PRs and zero post-facto approvals.
  • Maintain monthly vendor governance calendar; ensure MOM closures and SLA adherence.
  • Drive timely contract renewals and vendor performance evaluations 30 days prior to expiry.
  • Arrange & oversea events, canteen operations, employee transport, and travel management ensuring efficiency and satisfaction.
  • Plan and execute employee engagement calendar in collaboration with HR SPOC and Township Counsellor.
  • Drive GPTW Action Plan implementation and monitor progress of people and culture initiatives.
  • Conduct regular employee connects at CFS and Engineering to track issues and ensure closure.
  • Reinforce safety culture through regular audits, Gemba walks, and Tool Box Talks.
  • Ensure adherence to HSE, statutory, and labor law compliances across all administrative facilities.
  • Partner with Safety and Security teams to maintain a secure and compliant environment.
  • Drive process improvement and cost-optimization initiatives; implement a minimum of three Kaizens annually.
  • Identify efficiency gaps, track progress, and measure impact of improvement projects.
  • Ensure 100% PPE compliance and monthly stock audits.
  • Oversee 24x7 medical facility, paramedic availability, and periodic emergency drills.
  • Ensure upkeep and readiness of welfare and first-aid infrastructure.
  • Ensure 100% asset tagging, verification, and quarterly audit closure.
  • Drive CSR initiatives and monitor utilization within approved budgets.
  • Maintain TAT compliance for CSR project closures and reporting.
