About The Position

The Senior Integrated Project Manager is the operational leader responsible for bringing complex experiential marketing and brand experiences to life. This role serves as the central point of coordination between clients, internal creative and production teams, fabricators, technology partners, and installation vendors to ensure projects are delivered on time, on budget, and at the highest level of quality. The ideal candidate thrives in fast-paced environments, balancing client relationships with meticulous project execution. They anticipate challenges before they arise, manage multiple workstreams simultaneously, and ensure every detail—from concept through installation and closeout—is seamlessly executed.

Requirements

  • Bachelor’s degree in Project Management, Marketing, Communications, Business, Design, or related field (or equivalent experience) preferred but not required.
  • 7–10+ years of project management experience within experiential marketing, exhibit design, event production, branded environments, or integrated marketing agencies.
  • Proven experience managing projects from concept through onsite installation.
  • Strong understanding of fabrication, production processes, logistics, and event operations.
  • Experience managing six- and seven-figure project budgets.
  • Excellent client management and presentation skills.
  • Exceptional organizational, negotiation, and problem-solving abilities.
  • Ability to manage multiple priorities under tight deadlines.
  • Demonstrates clarity, firmness, and fairness with clients, educating them as to the difficulties and challenges during each phase of the studio’s process in context with their respective contract with Hyperquake. It is understood that these qualities will help to ensure appropriate expectations and good communications while underscoring the collaborative nature of this work.

  • Willingness to travel as needed for client meetings, site visits, and installations (approximately 20–40%)

Responsibilities

  • Manage end to end production for select large-scale projects, with support from the project team leads and Managing Director, head of production manage in defining the scope of current and new projects (goals, deliverables, schedules, staffing, SOWS, and budgets)
  • Serve as the day-to-day client contact throughout the lifecycle of experiential projects.
  • Build trusted client relationships through proactive communication and transparency.
  • Lead status meetings, document action items, and communicate project updates, risks, and solutions.
  • Ensure client expectations are aligned with project scope, schedule, and budget.
  • Develop and maintain detailed project plans, timelines, workbacks, and critical milestones.
  • Coordinate internal teams across strategy, creative, design, production, technology, and account management.
  • Manage multiple concurrent projects with varying budgets and complexity.
  • Identify project risks and proactively implement mitigation strategies.
  • Ensure all deliverables meet quality standards and client expectations.
  • Develop and manage project budgets from kickoff through final reconciliation.
  • Track project profitability, change orders, and scope adjustments.
  • Monitor labor, production, fabrication, shipping, travel, and installation costs.
  • Partner with finance and leadership on forecasting, invoicing, and financial reporting.
  • Source, onboard, and manage fabrication partners, production vendors, installers, and specialty contractors.
  • Negotiate pricing, timelines, and statements of work.
  • Coordinate procurement, production schedules, logistics, freight, and inventory.
  • Monitor vendor performance to ensure quality, schedule, and budget adherence.
  • Lead planning and execution for installations, activations, trade shows, retail environments, and branded experiences.
  • Coordinate installation schedules, labor, permits, venue requirements, shipping, and onsite logistics.
  • Serve as the primary operational lead during installation and dismantle.
  • Quickly resolve onsite issues while minimizing impact to clients and project timelines.
  • Ensure projects are completed safely and according to quality standards.
  • Facilitate collaboration between creative, production, technical, and client teams.
  • Translate creative concepts into executable production plans.
  • Keep stakeholders aligned through clear communication and documentation.
  • Mentor junior project managers and coordinators as appropriate.
