About The Position

The Senior Imaging Specialist, HIM supports the Health Information Management department by ensuring the accuracy, completeness, and regulatory compliance of clinical documentation and scanned medical records across the Health System. This role strengthens documentation integrity through systematic quality reviews, issue identification, and collaboration with clinical, HIM, and compliance stakeholders. The specialist plays a key role in maintaining documentation standards, supporting regulatory readiness, and promoting high-quality data that supports patient care, reporting, and organizational compliance. This position may function as lead, auditor, and scanning if necessary.

Requirements

  • Generally requires 3 to 5 years of related experience.
  • High School diploma is required.
  • Ability to analyze, organize and prioritize work accurately while meeting multiple deadlines.
  • Ability to communicate effectively in both oral and written form.
  • Ability to handle difficult and stressful situations with critical thinking and professional composure.
  • Ability to understand and follow instructions.
  • Ability to exercise sound and independent judgment.
  • Knowledge and skill in use of job appropriate technology and software applications.

Responsibilities

  • Perform comprehensive reviews of clinical documentation to ensure completeness, accuracy, timeliness, and compliance with organizational, state, and federal requirements.
  • Identify documentation gaps, inconsistencies, or deficiencies and communicate findings to appropriate clinical, HIM, and compliance stakeholders.
  • Ensure documentation supports regulatory requirements, quality reporting, coding accuracy, and organizational standards.
  • Conduct routine quality checks of scanned medical records to ensure documents are legible, complete, properly indexed, and assigned to the correct patient and encounter.
  • Identify and correct scanning errors, including missing pages, poor image quality, incorrect document types, or misfiled records.
  • Collaborate with HIM imaging staff and other departments performing scanning to improve workflows and maintain compliance with imaging standards.
  • Support training and competency development for staff involved in document imaging.
  • Analyze documentation quality trends, identify recurring issues, and prepare reports for HIM leadership and executive stakeholders.
  • Maintain strong working knowledge of HIM technology solutions and recommend enhancements to improve documentation workflows and system performance.
  • Work closely with clinical teams, compliance, quality, and HIM leadership to address documentation improvement opportunities.
  • Support organizational readiness for audits, accreditation surveys, and regulatory reviews related to documentation and medical record integrity.
  • Performs all other related job duties as assigned.
