About The Position

The Senior HR Operations Specialist is an experienced HR operations professional responsible for independently managing core HR processes, employee data, HRIS transactions, compliance support, mandated training tracking, regulated role certification compliance, and employee lifecycle activities. This role serves as a key HR contact for employees and managers, resolves complex operational requests, supports HR reporting and audits, oversees organization-wide training compliance tracking, monitors compliance requirements for regulated roles, and identifies opportunities to improve processes, accuracy, and service delivery. The Senior HR Operations Specialist is expected to exercise sound judgment, maintain confidentiality, and provide guidance on established HR procedures while partnering closely with HR leadership and cross-functional teams.

Requirements

  • 4–6 years of progressive experience in HR operations, HR administration, employee services, or a related HR function
  • Experience independently managing employee lifecycle processes, HR transactions, employee data updates, and records management with a high degree of accuracy
  • Experience using ticketing systems or HR service platforms to track, prioritize, resolve, and document employee and manager requests
  • Proficiency with HRIS systems; UKG experience strongly preferred
  • Strong understanding of HR compliance, employee data confidentiality, personnel file maintenance, and employment-related recordkeeping practices
  • Experience tracking mandated employee training, monitoring compliance completion, preparing reports, and following up with stakeholders on overdue or outstanding requirements
  • Experience tracking job-required certifications, licenses, permits, or other regulated role requirements, including monitoring expirations, maintaining compliance records, and escalating non-compliance
  • Ability to interpret and apply HR policies and procedures, exercise sound judgment, and appropriately escalate complex or sensitive matters
  • Strong reporting, analytical, and problem-solving skills with the ability to identify trends, gaps, and process improvement opportunities
  • Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced, service-oriented environment
  • Excellent written and verbal communication skills with a strong customer service mindset
  • Bilingual in Spanish and English required
  • Ability to sit for long periods of time, repeat the same movements, and use hands to handle, control, or feel objects, tools, or controls

Responsibilities

  • Maintain accurate employee records in HR systems, conduct routine data audits, resolve discrepancies, and ensure employee files and documentation are complete, current, and compliant.
  • Independently process onboarding, offboarding, promotions, transfers, reclassifications, status changes, compensation updates, and other employee changes accurately and timely.
  • Maintain and update employee information in UKG and other HR systems, troubleshoot system or data issues, support workflow improvements, and generate standard and ad hoc reports.
  • Serve as a knowledgeable point of contact for employee and manager questions, manage HR requests through service channels or ticketing systems, resolve routine to moderately complex matters, and escalate sensitive issues as appropriate.
  • Support compliance with employment laws, HR policies, I-9 requirements, personnel file standards, record retention practices, wage and hour procedures, and internal HR controls.
  • Oversee organization-wide mandated training tracking, monitor completion status, maintain accurate compliance records, follow up on overdue training, prepare compliance reports, and partner with leaders to ensure training requirements are completed timely.
  • Oversee compliance tracking and enforcement for regulated roles with job-required certifications, licenses, permits, or other role-specific requirements; monitor expiration dates, maintain accurate compliance records, follow up on missing or expired documentation, escalate non-compliance, and partner with leaders to ensure employees remain qualified for assigned roles.
  • Prepare recurring and ad hoc HR reports, validate data accuracy, identify trends or gaps, and provide operational insights to support decision-making and workforce planning.
  • Administer benefits-related processes, including employee enrollments, qualifying life events, benefit changes, employee inquiries, vendor coordination, and data updates in partnership with payroll and benefits providers.
  • Support workers’ compensation administration by tracking claims documentation, coordinating with employees, managers, carriers, and internal partners, monitoring claim status, maintaining accurate records, and supporting timely follow-up on work-related injury matters.
  • Identify opportunities to streamline workflows, reduce errors, improve employee experience, strengthen controls, and create or update SOPs, templates, checklists, and job aids.
  • Lead or support assigned HR operations projects, audits, system updates, policy rollouts, compliance reviews, and cross-functional initiatives from planning through implementation.
  • Provide guidance to less experienced HR team members, share best practices, support consistent execution of HR processes, and help train employees or managers on HR operational procedures.
