About The Position

This position is responsible for accounting and reporting for government grants, contracts, program fees, and other income. In addition, this position ensures that all revenues, receivables, and bad debt are properly recorded in the general ledger. This position prepares monthly, quarterly, semi-annual and annual reporting required for grant funding, assures that revenues are collected in a timely manner, and completes banking and month-end activities.

Requirements

  • Three or more years of accounting experience, including responsibility for government grant accounting, billing, reporting, or compliance.
  • Experience with automated financial systems; Financial Edge and/or Raiser’s Edge experience are desirable.
  • Thorough understanding of accrual-based accounting and Generally Accepted Accounting Principles (GAAP).
  • Ability to establish priorities and handle multiple assignments with tight deadlines.
  • Ability to develop new processes and improve existing processes.
  • Strong technical and interpersonal skills.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Demonstrated proficiency in Microsoft Office 365, including Outlook, Word, and Excel.
  • Ability to work effectively and collaboratively with members of the finance team and staff from across the organization.

Responsibilities

  • Prepare reports and reimbursement requests for funders of government and nongovernment grants on a timely basis.
  • Run project Income Statements to determine allowable expenses and ensure they are properly coded.
  • Provide guidance to program staff regarding grant requirements, allowable expenses, and financial compliance.
  • Field questions from funders regarding invoices and expense totals. Provide additional documentation as requested by working with Accounts Payable and Department Managers.
  • Review contracts for a thorough understanding of guidelines to ensure compliance.
  • Research, monitor, and summarize regulatory requirements related to grants and contracts, including changes to governing policies and reporting standards.
  • Monitor daily bank activity for deposits and match them to the deposit spreadsheet from administrative staff.
  • Process accounts receivables payments and record transactions in accounting system.
  • Complete monthly bank reconciliations.
  • Perform quarterly accounts receivable reconciliations and record allowances for bad debt.
  • Reconcile deposits from third-party payment platforms (e.g., PayPal, Stripe).
  • Develop and maintain documentation that supports internal controls and grant compliance.
  • Prepare aging schedules, grant tracking spreadsheets, and employee loan outstanding documentation for the annual audit.
  • Support government grant audits and fiscal monitoring site visits by providing requested documentation and tying invoices to the General Ledger and Income Statement.
  • Process client financial assistance requests, maintain supporting documentation and tracking records, enter required information into the electronic health record system, and coordinate payments.
  • Perform other duties as assigned.
