This exempt position is responsible for reviewing and approving financial information within new client matter intake and for tracking, maintaining, and managing client rates and discounts within the legal billing system (Elite 3E). The Senior Financial Billing Rates Analyst is responsible for ensuring that client and matter rate structures are accurate across all systems and in accordance with agreed upon outside counsel guidelines and engagement letters. This individual will support and interface with multiple billing attorneys in different practice areas within our Haynes and Boone offices across the globe. This person will also communicate with multiple Business Services departments within the firm including Client Intake, Pricing, Billing, and Finance as well as with firm clients while maintaining confidentiality of client and firm matters.

Requirements

  • Three to five years of relevant experience is required.
  • This individual must have proficient knowledge of Elite 3E and Microsoft Office applications, primarily Excel, Word and Outlook.
  • A solid understanding of the billing and intake processes in the professional services industry (ideally within a law firm environment) is preferred.
  • A broad range of technical ability, with a demonstrated aptitude and willingness to learn new software/applications is needed for this position.
  • The Senior Financial Billing Rates Analyst must have superior attention to detail, time management and organizational skills.
  • Additionally, the ideal candidate must possess strong analytical skills and be able to effectively multi-task and prioritize work to meet aggressive deadlines.
  • The individual must possess strong client focus, as well as strong written and verbal communication skills, with the ability to work both individually and as a member of a team.
  • The ability to work with many different types of personalities at all levels of organization is a must.
  • A degree in accounting, finance or related field is required.
  • Equivalent experience will be considered.

Nice To Haves

  • Experience working with Intapp Terms and Intapp Intake is a plus.

Responsibilities

  • Review and approve all new client matter intake forms and ensure accurate setup in Elite 3E including billing arrangements, rates, discounts, and payment terms.
  • Review and maintain rate and discount information on clients and matters within Elite 3E.
  • Analyze the firm's rate structures, ensuring accuracy and compliance with client agreements by proactively tracking and managing client rate expirations and/or deadlines to ensure timely submittal of rate changes.
  • Facilitate conversations with our Partners to ensure they are aware of client deadlines and are provided with the necessary information to take action with our clients.
  • Ensure rate and discount requests are approved per the firm’s financial operational policies.
  • Enter and maintain timekeeper standard rates (and other special rates) within Elite 3E.
  • Regularly review timekeeper and rate information on e‐billing sites to ensure accuracy.
  • Compile client rate reports and facilitate conversation with attorneys and clients regarding rate changes.
  • Collaborate with Business Development and Pricing to respond to RFPs.
  • Partner with Pricing to ensure that negotiated rate arrangements are set up and maintained in accordance with the agreed terms and conditions.
  • Ensure compliance with existing firm billing and intake policies and procedures, recommending changes when necessary.
  • Ensure compliance with meeting client, firm, and attorney deadlines around rate increases, rate reporting, and new client matter intake.
  • Review, assess and ensure compliance with Outside Counsel Policies and Procedures.
  • Review and update client and matter special handling requirements around rates and rate increases.
  • Receive and respond to client questions and inquiries concerning billing rates and discounts.
  • Communicate professionally and courteously with clients, attorneys, paralegals, and other staff.
  • Assist with special projects as needed and assigned.
  • Perform other related duties as assigned.
