About The Position

Lehigh Valley Health Network (LVHN) is seeking a Senior EMR Analyst for Release of Information. This role provides guidance and training to EMR Analysts, coordinating the management, workflow, access, and retrieval of patient information. The Senior EMR Analyst ensures accurate and timely responses to requests for medical record documentation in compliance with hospital policy and state/federal laws. This position involves direct patient and customer communication, collaboration with internal teams and vendors, hands-on training, and quality reviews. The role also includes monitoring staff performance, productivity, and issue resolution, acting as a liaison to Network HIM management.

Requirements

  • Associate’s Degree in health information technology or Associate’s Degree in healthcare related field or High School Diploma/GED with 6 plus years of directly related experience.
  • 3 years of experience with HIM and HIM related application use or currently enrolled in a healthcare related program with an understanding of healthcare data, how it is stored, and retrieved.
  • 3 years of electronic medical record (EMR) and related applications experience.
  • 3 years of previous healthcare, information systems, or acute care hospital or physician practice experience.
  • Ability to educate and train peers, colleagues, and providers.
  • Ability to drive/travel to multiple locations/facilities, as needed, for training purposes.
  • Strong problem solving abilities and investigative and analytical skills to monitor clinical activities and other operational processes impacting the integrity of the medical record.
  • Excellent computer skills, understanding of system and technology requirements, and utilization of Microsoft Office tools.
  • Comfortable with computer-based work flows, systems, and applications.
  • Good stress management skills, effectively handles multiple and changing priorities, and ability to work under pressure within time constraints and within productivity guidelines.
  • Maintains confidentiality and privacy of patient, customer, and colleague information accessed during the course of normal business.
  • Knowledge of federal and state regulations for retention and destruction of paper and electronic information.
  • Understanding of HIM operational workflows.
  • Highly organized, detail-oriented, data-oriented, process-oriented, able to multitask, teaching ability, and is highly efficient, with a high degree of accuracy.
  • Knowledgeable with the electronic medical record and applicable clinical, department, and vendor applications including how to access and retrieve information from all legal medical record locations.
  • CRIS - Certified Release of Information Specialist - State of Pennsylvania within 1 Year or RHIT - Registered Health Information Technician - State of Pennsylvania within 2 Years
  • DL - Driver's License_PA - State of Pennsylvania Upon Hire

Responsibilities

  • Facilitates daily functions and provides instruction and training to HIM EMR Analysts to efficiently, accurately, and consistently audit incoming requests to ensure information is released within established timeframes.
  • Communicates effectively and openly with HIM EMR Analysts about daily tasks and expectations.
  • Reviews and reports trends and discrepancies from productivity tracking and helps estimate resources for task completion.
  • Coaches HIM EMR Analysts to achieve higher levels of performance.
  • Prioritizes and monitors workflow of day to day operations and department functions to meet network deadlines and expected turnaround time goals.
  • Maintains and revises staffing schedules and PTO selection according to policies and guidelines to ensure coverage based on department needs.
  • Leads huddles to help prioritize and accommodate work volume.
  • Logs, processes, and follows-up on requests needing higher level attention for Risk/Legal, Compliance, Quality, etc.
  • Monitors RAC audit requests via RAC tracking system.
  • Coordinates records needed for audits and appeals, e.g., PFS.
  • Maintains up-to-date reference materials, training manuals, and documentation and educates specialists on new or updated policies, procedures, and workflows.
  • Orients new HIM EMR Analysts and provides continuing education in conjunction with Network Manager and Director.
  • Conducts department overviews of processes to students, contracted staff, and additional onsite facility staff, as needed.
  • Participates in the training and education of HIM-supported applications (e.g., ROI Online, Craneware).
  • Serves as a super user for implementations.
  • Participates in daily status calls, work group meetings, and training sessions with project teams and vendors.
  • Participates in onsite assessments and facilitates projects across facilities and locations within the network; participates in project discovery, planning, development, education, and follow-up.
  • Evaluates workflow and processes in order to provide the necessary tools, procedures, education, and guidance to the specialists.
  • Works with team to make suggestions for improving HIM EMR Analysts' processes and technical knowledge.
  • Reviews and identifies equipment needs and schedules maintenance or repair, as needed.
  • Serves as a resource to troubleshoot problems and offers solutions to open issues.
  • Serves as a liaison with staff, management, providers, and other applicable departments (e.g., Appeals, PFS, Risk/Legal) and vendors and acts as a resource for the department and provides applicable feedback.
  • Communicates work status and personnel issues to Network Manager and Director, keeping management informed of unexpected or difficult situations.
  • Acts as a primary contact for release of information internal and external customers and communicates with clinical units and departments when scheduled or unscheduled issues arise.
  • Ensures the integrity of the electronic medical record (EMR) and legal medical record, documenting legal medical record locations across the network.
  • Performs Ellkay ROI validation or archived legacy EMR system data to validate output complies with established hospital and departmental policy and state and federal laws for release of information.
  • Facilitates and supports access for HIM-supported systems, e.g., ROI Online, etc.
