About The Position

Eyes On Eyecare is seeking an independent, organized, and highly motivated Senior Director, Live Programs to manage and execute live programs. This role is responsible for all aspects of live programs sold by the sales team, including doctor dinners, advisory boards, KOL roundtables, speaker programs, and programs associated with major eyecare meetings. The position involves working directly with clients and KOLs, managing venues and vendors, and collaborating with internal marketing, content, and client services teams. The goal is to ensure that client brand presence in these live events is impactful and valuable.

Requirements

  • 5+ years of experience planning and running live events.
  • At least 3 years of experience in healthcare, pharma, medtech, or a healthcare agency.
  • Direct experience running HCP programs such as doctor dinners, advisory boards, or speaker programs.
  • Proven track record of owning client relationships and program budgets.
  • Strong vendor negotiation and contracting experience.
  • Ability to travel up to 50%, including evenings and weekends.
  • Bachelor's degree or equivalent experience.

Nice To Haves

  • Experience in ophthalmology or optometry.
  • Existing relationships with eyecare KOLs.
  • Familiarity with major eyecare meetings (AAO, AOA, ASCRS, SECO, Vision Expo).
  • Experience with virtual advisory board, webinar, and hybrid event platforms.
  • Experience coordinating logistics for video shoots or on-location productions.
  • Comfort with ClickUp or a similar project management tool.

Responsibilities

  • Own every live program from kickoff to final report, including budget reconciliation and results reporting.
  • Manage the program's attendee list to ensure the right doctors are present.
  • Cultivate and manage client relationships, acting as the single point of contact and providing strategic guidance.
  • Build and maintain relationships with Key Opinion Leaders (KOLs) and clinical partners.
  • Develop and manage program budgets, negotiate with vendors, and reconcile expenses.
  • Track program results, including attendance and feedback, to deliver reports and inform future strategy.
  • Translate client business objectives into event formats, audiences, faculty, and agendas.
  • Source venues, negotiate rates and terms, and manage contracts with various vendors.
  • Coordinate faculty and KOL participation, including scheduling, travel, and briefing materials.
  • Manage invitations, RSVPs, reminders, and confirmations for attendees.
  • Oversee onsite execution of programs, managing staff, vendors, faculty, and clients.
  • Run hybrid and digital programs, including virtual advisory boards, webinars, and virtual roundtables.
  • Extend live programs into digital components like pre-event promotion and post-event recaps.
  • Manage logistics for filming doctors on location, including sourcing locations and coordinating KOL schedules.
  • Review contracts, translate them into program plans, and ensure all deliverables are met.
  • Maintain program documentation in ClickUp for timelines, owners, and communication.
  • Lead status calls, send recaps, and manage changes throughout the program lifecycle.
  • Plan and execute internal team dinners, company events, and off-sites.
  • Host informal KOL gatherings to build relationships and gather feedback.
