About The Position

This position provides administrative support to senior leaders of multiple areas by serving as a key liaison with internal & external stakeholders for the organization. This is a highly visible role that requires a high level of professionalism.

Requirements

  • High school diploma or G.E.D. required.
  • 2-4 years of related administrative assistant or similar experience required.
  • Strong experience with Microsoft Office required, with a special emphasis on Outlook calendar.

Responsibilities

  • Manage senior leader calendars, align meetings, schedule appointments, book travel and events, and handle expense reporting to optimize the time of supported leaders allowing them to achieve objectives.
  • Screen and direct phone calls, emails, and correspondence appropriately. Draft responses, compose emails, or make calls on behalf of the executive.
  • Arrange and coordinate meetings, including logistics, venue bookings, catering and technology needs for executive needs and organizational initiatives.
  • Assist in the planning and execution of presentations, agendas, reports, special projects, and initiatives.
  • Organize executive travel, including flights, accommodations, itineraries, contacts, and documents.
  • Manage expense reporting, invoices, and budget tracking.
  • Greet and host high-profile guests such as board members and government officials.
  • Use judgement to prioritize competing requests for time/resources from various leaders.
