This position is under the direct supervision of the Office Operations Manager II - SES. The incumbent in this position is identified as a highly sensitive position and is responsible for receiving money and performing tasks involving financial trust. This position requires a background screening and fingerprinting. This position is identified as a key custodian for designated areas. Adheres to Information Security policies and procedures. Serves as Medical Records Custodian and ensures all outgoing and incoming Medical Records Requests are tracked, logged, scanned into HMS EHR system and processed within 5 business days of receipt. Monitors and processes hosted fax received and Electronic Health exchange documents. Also responds within 2 business days to any portal inquiries. Performs Clinic Clerical Support by maintaining smooth clinic flow by adhering to the daily appointment schedule; greeting and acknowledging clients when registering for clinic appointments to ensure the clients are checked-in timely according to Department policy and procedure; preparing medical charts prior to client appointments adhering to Records Management System guidelines; verifying and updating patient/client information and payor information into the HMS database system prior to routing patients/clients through clinic; conducting financial interviews with clients to determine eligibility and sliding fee scale; following the Information Security policies and procedures for all Health Department programs; providing routine information to patients/clients regarding appointments, programs, clinic schedules, medical release forms as requested adhering to records management guidelines; ensuring the process for request for patient medical records are completed timely, within 5 days of receiving the requested from outside sources; ensuring Pre-booked appointment charts are worked up for assigned provider, patient appointment reminders are called the prior day to confirm appointment along with updating result in notepad in patient’s chart; performing cashier functions which includes collecting minimum fee, collecting payments according to clients sliding fee scale, and collecting payments from clients who have an outstanding balance; ensuring correct ICD-10 services codes are recorded into HMS system as recorded on the billing encounter, along with issuing receipt to patients at time of service. Determine eligibility for Presumptive Eligibility for Pregnant Women following the Medicaid (PEPW) Guidelines. Completes PEPW applications according to Federal guidelines within 5 business days from the date of application using the Florida Integral System generating immediate temporary Medicaid, if eligible. Monitors interior and exterior areas of facilities reporting areas that need maintenance or repair reporting need to the appropriate staff. Completes time entry and EAR entry within DOH policy. Required to work indeterminate periods of time during a disaster. May be required to travel in personal car to provide clerical support at satellite clinics, required to work evenings and weekends shifts as needed in order to support clinic operations. Serve on Health Department committees as requested and actively participate in Departmental and CHD Staff Meetings. Attend out of town training sessions and/or program meetings on DOH updates. Performs all other duties as assigned by immediate supervisor.
