POSITION SUMMARY: The Senior Brokerage Coordinator is tasked with ensuring the seamless execution of business operations by managing client services, overseeing document management, coordinating transactions, and handling office administration. This position requires a blend of administrative ability, exceptional organizational skills, and a comprehensive understanding of the brokerage industry. It is also the responsibility of the Senior Brokerage Coordinator not only to exhibit legendary customer service when communicating with clients, owners, vendors, and fellow team members but also to focus on productivity and results.

Requirements

  • Bachelor’s degree in business administration, Real Estate, or a related field preferred.
  • A minimum of 2 years in a Brokerage Coordinator role.
  • Experience in real estate, customer service, or administrative support is preferred.
  • Strong understanding of transaction management and client relations.
  • Proficiency with Microsoft Word, Teams, Excel, PowerPoint, Access, CRM/Database Management, Adobe Acrobat, social media platforms and Outlook.
  • Expert with Adobe InDesign and Photoshop to create marketing brochures, proposal brochures and team branding materials.
  • Exceptional verbal and written communication skills.
  • Ability to interact professionally with clients, agents, and other stakeholders.
  • Superior organizational abilities, attention to detail, and the ability to manage multiple tasks simultaneously.
  • Collaborative mindset with the ability to work well in a team-oriented environment.

Responsibilities

  • Assist brokers with client interactions, document preparation, and transaction management.
  • Ensure all client inquiries are overseen promptly and professionally.
  • Oversee the entire transaction process from start to completion, ensuring all documentation is correct and timelines are met.
  • Liaise with clients, brokers, and other parties to facilitate smooth transactions.
  • Prepare and review contracts, agreements, and other legal documents.
  • Ensure all transactions follow legal and regulatory requirements.
  • Maintain organized and compliant records of all transactions, contracts, and correspondence, ensuring adherence to legal and regulatory standards.
  • Build and support strong relationships with clients, providing excellent customer service and addressing any concerns that arise during the transaction process.
  • Oversee various administrative tasks including social media posts and branding, scheduling appointments, managing office supplies, and coordinating meetings and events.
  • Assist in the preparation of property listings, brochures, and online content.
  • Update and maintain client databases with precision, ensuring all information is current and accurate.
  • Generate detailed reports on transaction status, client interactions, and office operations for senior management review.
  • Other duties and assignments as requested.
