About The Position

We are seeking an experienced Benefits Consultant with deep expertise in Workday Benefits Administration, EDI file integrations, carrier implementations, and automated Open Enrollment processes. This consultant will serve as the subject matter expert responsible for assessing current benefits administration processes, configuring Workday Benefits, implementing carrier file feeds, improving automation, and ensuring seamless enrollment and eligibility data transmission between Workday and insurance carriers. The ideal candidate has successfully led multiple Workday Benefits implementations or optimizations and possesses extensive knowledge of benefit plan configuration, eligibility rules, event processing, ACA requirements, COBRA integrations, carrier connectivity, and benefits administration best practices. This role works closely with HR, Payroll, IT, Benefits vendors, insurance carriers, and third-party administrators to deliver scalable and compliant benefits operations.

Requirements

Bachelor's degree in Human Resources, Business, Information Systems, or related field
5+ years of Benefits Administration experience
3+ years configuring Workday Benefits
Multiple Workday Benefits implementations or optimization projects
Extensive experience implementing EDI carrier feeds
Experience leading Open Enrollment implementations
Strong understanding of benefits administration operations
Experience working directly with insurance carriers
Payroll integration experience
Project management experience

Responsibilities

Configure and optimize Workday Benefits module
Build and maintain benefit plans, plan options, eligibility rules, and enrollment events
Configure life event processing and benefit event workflows
Design benefit security roles and business processes
Maintain benefit rates and employer contribution structures
Configure dependent verification requirements
Support annual plan renewals and benefit updates
Validate employee self-service functionality
Configure passive and active enrollment strategies
Ensure compliance with Workday best practices
Lead the end-to-end Open Enrollment process including: Open Enrollment project planning, Annual configuration updates, Benefit plan changes, Carrier coordination, Testing enrollment scenarios, Communication support, Enrollment validation, Production deployment, Post-enrollment audits, Exception management
Develop automated enrollment workflows that reduce manual intervention while improving employee experience.
Serve as the technical lead for benefits data integrations including: Requirements gathering, Carrier implementation meetings, Mapping benefit eligibility data, Developing EDI specifications, Building inbound/outbound integrations, Testing carrier connectivity, Production migration, Ongoing monitoring
Design, implement, and support: ANSI 834 files, Custom carrier file formats, XML integrations, CSV file feeds, API integrations (where applicable), SFTP connectivity, Secure file transmission, File encryption, Scheduled integrations, Error handling, Exception reporting, File reconciliation
Lead all phases of testing including: Unit testing, System Integration Testing, User Acceptance Testing, Parallel testing, Carrier validation, Eligibility testing, Life event testing, Open Enrollment testing, Payroll deduction validation, File reconciliation
Partner with Payroll to ensure: Benefit deductions calculate correctly, Payroll interfaces function properly, Benefit elections transfer accurately, Retroactive adjustments process correctly, Deduction codes align with benefit plans, Payroll reconciliation processes are established
Ensure compliance with: ACA, HIPAA, ERISA, COBRA, IRS Section 125, Affordable Care Act reporting, Benefit eligibility regulations, Privacy and security standards
Lead benefits technology projects including: Project planning, Timeline management, Risk identification, Vendor coordination, Stakeholder communication, Status reporting, Issue resolution, Go-live support, Hypercare support, Documentation
Evaluate current processes and recommend improvements including: Workflow automation, Manual process elimination, Data accuracy improvements, Employee experience enhancements, Reporting automation, Operational efficiencies, Standard Operating Procedures (SOPs), Governance documentation
Develop and maintain: Configuration documentation, Process maps, SOPs, EDI specifications, Testing scripts, Training documentation, User guides, Carrier implementation documentation, Benefit administration procedures
