About The Position

Federal Realty Investment Trust is seeking a Senior Assistant Property Manager to work closely with the Regional Property Manager. This role involves completing administrative tasks, serving as a point of contact for tenants and vendors, and ensuring the smooth operation of properties. The ideal candidate has a passion for customer service, thrives in a fast-paced environment, is detail-oriented, and highly organized. This position is based in Charlottesville, Virginia, with travel to other properties in the portfolio. For the right candidate, this role may offer opportunities for increased responsibility within Federal's Central Virginia Portfolio.

Requirements

  • 4+ years' experience as an Assistant Property Manager, Operations Coordinator, or in a similarly senior administrative/operations role.
  • Bachelor's degree or equivalent combination of education and relevant experience.
  • Demonstrated leadership potential and genuine interest in advancing into property management.
  • Demonstrated ability to manage competing priorities and lead multiple projects to completion with minimal oversight.
  • High level of proficiency in Microsoft Office programs including Outlook, Word, Excel (including formulas and budget modeling), and Access.
  • Strong financial acumen, including experience supporting budget preparation and variance analysis.
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail and accuracy.
  • Proven ability to work independently and exercise sound, autonomous judgment.
  • Strong customer service orientation.
  • Flexible and adaptable, able to move quickly between projects in a fast-paced environment.
  • Ability to perform essential on-site property inspections, including walking or standing for extended periods, with reasonable accommodations as needed.
  • Ability to work occasional evenings or weekends as needed.
  • Ability to travel overnight at least once per quarter during the first year for training purposes.

  • Prior experience in retail property management strongly preferred.

Responsibilities

  • Provide direct administrative support to the Regional Property Manager across day-to-day property operations.
  • Serve as a point of contact for merchants' daily operating needs, including maintenance, utilities, trash, and parking management.
  • Coordinate and evaluate third-party vendors for services like security and landscaping.
  • Assist with financial operations, including budget preparation, expense monitoring, and variance reporting.
  • Prepare job specifications, collect bids, and recommend vendors for maintenance projects and service agreements.
  • Complete administrative functions such as written correspondence, calendar management, and ordering supplies.
  • Maintain and improve property operations files, systems, and supplies.
  • Manage the invoice and accounts payable process, including coding, researching, and troubleshooting discrepancies.
  • Prepare and review expense reports and process check requests.
  • Maintain and update tenant contact lists.
  • Track and follow up on tenant-required maintenance items.
  • Prepare and distribute opening, closing, and landlord possession date communications.
  • Maintain spreadsheets tracking lease-required contracts and ensure tenant compliance.
  • Distribute monthly night inspection reports and complete follow-up correspondence.
  • Assist with tracking key lease language and flag items requiring monitoring or action.
  • Conduct property inspections independently and with the Regional Property Manager.
  • Respond to emergency situations in partnership with the Regional Property Manager.
  • Take on progressively greater responsibility for property management functions as readiness is demonstrated.
  • Complete other projects and duties as assigned.
