About The Position

Odyssey Systems has an exciting opportunity for an experienced Senior Administrative Professional supporting an Air Force acquisition mission on the EB contract at Eglin AFB, FL, providing support to EBI. The candidate will prepare reports, papers, and briefings IAW DAFH 33-337 and AFMC communications policies/templates, and prepare correspondence IAW AFMAN 33-326, while providing administrative and office management support to leadership. Requirements

  • Citizenship: Must be a US citizen
  • Clearance : Must have and be able to maintain an Active Secret clearance
  • Education: Bachelor’s + 10 years Relevant Experience, OR Associate’s + 15 years Relevant Experience
  • Reports, papers, and briefings preparation (DAFH 33-337 / AFMC templates)
  • Correspondence preparation (AFMAN 33-326)
  • Writing/editing emails, drafting memos, and leadership communications support
  • Calendar and conference room scheduling
  • Meeting and conference coordination (including external organizations)
  • Telephone coverage, routing, and routine query response
  • DTS travel clerk support
  • Action item / suspense tracking and monitoring
  • File management document updates and records maintenance
  • Staff meeting agendas, reports, and briefings
  • Workflow support
  • Timekeeping (ATAAPS)
  • Strong written communication and editing skills
  • Strong organizational skills supporting multiple priorities
  • Ability to collaborate across organizations to support leadership requirements

Responsibilities

  • Prepare reports, papers, and briefings IAW DAFH 33-337 and AFMC communications policies/templates
  • Prepare correspondence IAW AFMAN 33-326
  • Provide administrative assistance such as writing/editing emails, drafting memos, and preparing communications on leadership’s behalf
  • Maintain appointment calendars and conference room schedules; assist leadership with scheduling and calendar updates/changes
  • Organize and coordinate meetings and conferences, including those involving staff from outside organizations
  • Collaborate with other organizations within leadership’s span of responsibility to proactively plan future engagements; make inquiries and follow-up when in-depth information is needed
  • Answer telephones, forward messages, respond to routine queries, and screen/direct incoming calls or visitors
  • Serve as the organization’s travel clerk using Defense Travel System (DTS) functions IAW the Defense Travel Administrator’s Manual
  • Assist with coordination, consolidation, analyses, distribution, and monitoring of action items, suspenses, and responses for assigned organization level
  • Provide inputs and recommendations regarding administrative and office management processes and procedures
  • Assist with preparation and updates to program office file management documents; maintain comprehensive and accurate records
  • Prepare agendas, reports, and briefings for staff meetings
  • Assist with organizational workflows
  • Perform timekeeper duties (e.g. ATAAPS)
