What we want The Senior Administrative Coordinator I provides high-level administrative, executive, advancement, compliance, and project support to the Chief of Staff and the Office of the Dean at the Naresh K. Vashisht College of Medicine. This position plays a key role in coordinating daily operations, managing sensitive and confidential matters, supporting advancement activities, and helping ensure the timely execution of strategic and administrative priorities.

Requirements

  • Bachelor's degree or an equivalent combination of education and experience.
  • Six (6) years of experience in office administration
  • A Class “C” vehicle operator’s license or ability to obtain within 30 days of employment
  • Exceptional written and verbal communication skills, with the ability to draft clear, professional correspondence and materials
  • Strong interpersonal and organizational skills, with the ability to build effective working relationships across a range of stakeholders
  • Exhibits strong professional presence, engaging effectively with others in a manner that reflects discretion and respect
  • Demonstrated ability to manage multiple priorities, coordinate tasks, and meet deadlines in a fast-paced environment
  • Ability to interact professionally and effectively
  • Strong judgment and problem-solving skills, including the ability to analyze information and apply sound reasoning to complex and confidential situations
  • Working knowledge of technology and office software, including AI integration, Microsoft Office, and database systems, CRM platforms, or advancement tracking tools

Responsibilities

  • Provides high-level administrative support to the Chief of Staff while handling sensitive and confidential information with discretion.
  • Manages complex calendars, including scheduling appointments, coordinating meetings, and arranging travel.
  • Prepares correspondence, reports, presentations, and other materials to support executive operations and decision-making.
  • Coordinates meeting logistics, including agendas, room reservations, virtual meeting support, catering, and meeting minutes.
  • Serves as a primary point of contact for inquiries directed to the Chief of Staff and helps facilitate timely communication and follow-up.
  • Tracks action items, monitors deadlines, and supports implementation of priorities and special projects for the Office of the Dean.
  • Coordinates visits for guests, visitors, and dignitaries.
  • Processes approvals, prepares reports, and drafts correspondence and other administrative materials.
  • Serves as a collaborative member of the Office of the Dean administrative team and provides backup support for other administrative staff as needed to ensure continuity of operations.
  • Serves as a resource on relevant administrative, business, and travel procedures.
  • Supports special projects and administrative initiatives that advance operational effectiveness within the Office of the Dean.
  • Supports administrative operations for the Office of the Dean, including records management, documentation, and coordination of office processes.
  • Assists with compliance-related activities by maintaining records, preparing materials, and supporting adherence to applicable policies, procedures, and reporting requirements.
  • Maintains confidential files and documentation in an organized and accurate manner.
  • Coordinates deadlines, required submissions, and follow-up actions to support timely completion of administrative and compliance-related responsibilities.
  • Maintains the Office of the Dean’s property records and serves as the property management contact.
  • Supports Dean’s office events, operational activities, and other office-wide initiatives as assigned.
  • Coordinates and tracks donor acknowledgment correspondence, including management of the annual scholarship thank-you letter process.
  • Drafts donor communications, stewardship updates, and other advancement-related correspondence for review and distribution.
  • Manages the football ticket distribution process as part of donor and constituent engagement activities.
  • Supports advancement-related events by assisting with scheduling, logistics, coordination, and follow-up activities.
