About The Position

Starbucks is seeking a self-driven and versatile Senior Administrative Assistant to join the Supply Chain Operations team. This role will provide dedicated administrative support to the VP of Indirect Sourcing and the VP of Global Sourcing & Supplier Relations, as well as support to the directors on these teams. The ideal candidate will effectively manage leaders’ calendars with accuracy and attention to detail, handle confidential information with discretion, and independently solve problems. This position will also play a key role in fostering a positive and engaging work environment by supporting team meetings, events, and building a sense of community. The role is designed to promote productivity and support the execution of leaders’ and team goals by organizing meetings, managing travel plans, and processing expense reports. Collaboration with the global supply chain executive assistant and the broader team is essential to drive the rhythm of business through calendar alignment, best practice sharing, and communication cascading.

  • Progressive administrative experience and/or Starbucks store experience (5+ years).
  • Experience managing calendars and email on MS Outlook (5+ years).
  • Project or event management (5+ years).
  • Experience in a fast-paced environment (5+ years).

Responsibilities

  • Provide dedicated administrative support to the VP of Indirect Sourcing and the VP of Global Sourcing & Supplier Relations, and support directors on the teams.
  • Effectively manage leaders’ calendars with attention to accuracy, detail, and allocation of time and resources.
  • Handle confidential and non-routine information, exercising independent judgment and discretion.
  • Perform a high volume of tasks with limited direction, independently solve problems, and take on projects to improve processes.
  • Support building a sense of community among the teams and help facilitate a joyful and engaging work environment.
  • Promote productivity and support execution of leaders and team goals and objectives.
  • Organize team meetings and events.
  • Support travel plans and expense reports.
  • Partner closely with the global supply chain executive assistant and the broader team to help drive the rhythm of the business by aligning calendars, sharing best practices, and cascading communications.
  • Develop an understanding of Starbucks systems, culture, business model, and team structure to enable effective support and appropriate direction of requests.
  • Build trust with the executive and team, leveraging strategic thinking to predict needs and eliminate obstacles.
  • Collaborate with the sr. executive assistant for Global Supply Chain to ensure smooth operation of the team and rhythm of the supply chain business.
  • Partner with other assistants across Global Supply Chain and the enterprise to ensure seamless leadership support and enterprise alignment.
  • Exercise consistent sound judgment when managing confidential and sensitive information.
  • Proactively and strategically manage complex calendars to drive efficiency and manage information flow by filtering distractions.
  • Lead and organize highly complex activities including team and department events, conferences, and cross-functional meetings.
  • Take end-to-end ownership of projects and deliverables.
  • Provide insight into team engagement and morale, lead team activities and provide teambuilding recommendations.
  • Create and share best practices with the support team to promote operational efficiencies across the department.
  • Coach and manage collaboration within the support team.
  • Support multiple executives by backing up other admins as well as the executive assistant during times of need.
  • Leverage existing and new tools, resources, and programs to achieve operational excellence.
