About The Position

We are seeking an experienced Senior Administrative Assistant / Administrator to support a large, dynamic division at the world-renowned Lawrence Berkeley National Laboratory. This role provides broad, high-level administrative support with a strong emphasis on human resources coordination, recruitment support, events and meetings, and division operations, along with calendar and travel management. This is an excellent opportunity for a proactive, detail-driven administrator who enjoys working in a fast-paced, mission-driven environment while partnering closely with leadership and cross-functional teams.

Requirements

  • Strong experience in a senior administrative, executive assistant, or administrator role
  • Demonstrated experience supporting HR and recruitment processes
  • Proven ability to coordinate complex events and meetings
  • Excellent organizational skills with the ability to manage competing priorities
  • High level of discretion, professionalism, and attention to detail
  • Proficiency with Google Workspace, MS Office, and administrative tracking tools

Nice To Haves

  • Proficiency with Smartsheet or similar administrative tracking tools
  • Experience supporting large departments, scientific, technical, or research organizations preferred

Responsibilities

  • Serve as liaison between HR and division management on routine personnel actions
  • Support recruitment efforts including posting roles, coordinating interviews, scheduling panels, and managing candidate logistics
  • Assist with onboarding, offboarding, affiliate and visitor processing
  • Help track performance review cycles, promotions, and related approvals
  • Advise supervisors on required documentation and process steps
  • Plan and coordinate complex meetings, workshops, and events, including logistics, schedules, and materials
  • Manage approvals, budgets, and compliance requirements for events and activities
  • Prepare presentations, agendas, and supporting materials
  • Proactively track recurring processes, deadlines, and action items
  • Manage calendars, independently schedule and prioritize meetings
  • Serve as a point of contact for division leadership and respond to a wide range of requests
  • Support financial processes, including requisitions, reporting, and coordination with finance partners
  • Maintain division documentation, websites, and internal resources as needed
