About The Position

This is a full-time position for a Senior Administrative Assistant at Texas Health Fort Worth. The role involves providing assistance to Chief Executive Staff and working with a great team, with potential for growth. The hospital is a 707-bed, Magnet-designated, full-service hospital serving the community since 1930, offering a wide range of specialized services and holding numerous awards and certifications.

Requirements

  • High School Diploma or equivalent required
  • Five years in support of a department, supervisor or projects required.
  • Advanced office software applications skills and experienced user of office and desktop publishing applications e.g. power point, Excel spreadsheet creation, and other presentation software to create presentations and some analysis, and collaboration platforms e.g. Microsoft Teams.
  • Proven experience producing various forms of business correspondence - e.g. business letters, memos, written and statistical report documentation for production.
  • Proven mathematical skills to collect, manipulate and analyze financial or statistical data.
  • Good project management and organization skills.
  • Excellent verbal, written communications and interpersonal skills.
  • Ability to give instructions and clearly explain any type of problems or situations.

Responsibilities

  • Relieve management of daily operational problems by responding to mail or telephone inquiries or seeking the appropriate personnel for resolution.
  • Build relationships with vendors, customers or other internal departments to complete projects or obtain services.
  • Perform simple research, data collection and/or data entry into databases (e.g., time and labor). Responsible for data integrity of unit databases, reports or documents.
  • Create routine draft or final written correspondence for management review.
  • Use advanced software applications (e.g., spreadsheets, graphics, databases) to collect, manipulate or report information for department projects, meetings or presentations.
  • Participate in documentation development or information research.
  • Responsible for entering information, articles, or reports into department or functional web sites.
  • Respond to routine correspondence not requiring supervisors' attention.
  • Participate in functional, unit or project budgetary processes by assisting with data collection, reporting/tracking accounts payable/receivables, payroll and analyses.
  • With management approval, has limited funds disbursement authority.
  • Responsible for researching department payroll issues, time and attendance tracking, equipment oversight, I/S or purchasing activities.
  • Track completion schedule or communicate information/instructions for projects.
  • Responsible for events planning which involves facilities, personnel, travel itineraries, speakers, or scheduling department meetings.
  • Participate in creating or packaging presentation documentation or materials for meetings, education in-service classes or marketing activities.
  • Perform initial analysis of information for staff or management.
  • Perform in a work leadership role as part of a team project or as a lead person within the department or special committee(s).
  • Other duties as assigned.
