Requirements

  • Associate's degree, or equivalent work experience.
  • 4+ years of progressive administrative support experience, preferably supporting executives.
  • Proven success supporting senior leaders in a corporate setting.
  • Anticipates needs, identifies solutions, and takes initiative without waiting for direction.
  • Skilled in managing complex calendars, email prioritization, and multiple projects simultaneously.
  • Strong attention to detail for expense reporting, travel arrangements, and event planning.
  • Comfortable with the Microsoft Office Suite and other productivity tools.
  • Professional, approachable, and committed to helping executives lead effectively.
  • Eager to learn and grow within the organization.

Responsibilities

  • Act as a gatekeeper for executive calendars and inboxes. Prioritize meetings, flag urgent emails, and ensure smooth scheduling.
  • Arrange domestic travel and handle expense reporting with accuracy and timeliness.
  • Coordinate town halls, volunteer events, and special projects—including logistics, communications, and vendor coordination.
  • Occasionally assist with local marketing events, such as providing on-site support for client gatherings (e.g., holiday parties) to ensure smooth execution.
  • Prepare presentations, meeting agendas, and correspondence.
  • Occasionally respond or send communications on behalf of executives.
  • Help executives stay connected with their teams by tracking birthdays, work anniversaries, and other milestones.
  • Manage access requests, time-off tracking, and other administrative processes.
  • Partner closely with executives to review upcoming priorities, meetings, and deliverables.
