About The Position

The Senior Administrative Assistant - Leukemia role supports the Leukemia department at The University of Texas MD Anderson Cancer Center, a leading institution in cancer care, research, education, and prevention. This position provides advanced administrative and secretarial support to ensure efficient coordination of departmental activities and resources. The role serves as a key operational partner for department leadership, faculty, staff, trainees, and patients, contributing to administrative excellence, supporting strategic initiatives, and maintaining effective communication, financial oversight, and program coordination. The ideal candidate possesses strong administrative and organizational experience, excellent written communication skills, and the ability to manage complex projects, budgets, and departmental activities.

Requirements

  • High School Diploma or Equivalent
  • Five years Administrative/secretarial experience or three years required experience with Associate's degree or one year required experience with Bachelor's degree.
  • Must pass pre-employment skills test as required and administered by Human Resources.

Responsibilities

  • Perform complex administrative and secretarial duties in support of department operations
  • Compose formal and informal correspondence for faculty, leadership, and departmental needs
  • Create, edit, and format presentations and professional documents
  • Interpret institutional policies and procedures for employees
  • Coordinate and maintain departmental administrative activities and priorities
  • Coordinate human resources activities for the department
  • Coordinate and maintain trainee, fellowship, observer, and visitor programs
  • Support onboarding, program administration, and participant scheduling
  • Serve as a resource regarding departmental processes and institutional requirements
  • Monitor and balance departmental budget activity
  • Manage departmental purchasing activities
  • Establish and maintain budget control systems to monitor expenditures
  • Coordinate maintenance of physical plant operations, physical inventory, and space planning activities
  • Ensure timely submission of required reports and documentation related to manuscripts and grants
  • Track project stages and milestones while alerting investigators regarding deadlines
  • Initiate and coordinate response processes for required submissions
  • Develop project priorities and monitor the status of special projects
  • Direct and coordinate project activities through delegated subordinates
  • Assist with grant and contract preparation activities
  • Participate in strategic planning initiatives for the department
  • Support planning and implementation of information systems and other special projects
  • Handle telephone calls from patients, referring physicians, care centers, and new patient referrals
  • Participate in the patient care process through professional communication and coordination
  • Assist faculty in building and maintaining referral practices
  • Provide professional and supportive assistance to new patients and referring physicians
  • Facilitate communication between patients, providers, and departmental resources
  • Other duties as assigned
