About The Position

PBF Energy Inc. (NYSE:PBF) is one of the largest independent refiners in North America, operating, through its subsidiaries, oil refineries and related facilities. We have an opportunity at our Martinez Refinery in California and are seeking a talented Senior Admin Associate, HSSE to join our team as a pivotal member that would play a key role here at PBF Energy. The Senior Admin Associate reports to the HSSE Manager and is a part of our HSSE team. They provide administrative support by maintaining records, tracking compliance requirements, coordinating training, preparing reports, and assisting with regulatory documentation. This role ensures accurate recordkeeping, supports safety initiatives, and serves as a resource for employees and leaders to help maintain compliance with company policies and applicable health and safety regulations.

Requirements

  • Possess a valid Drivers’ License
  • Candidate must have active TWIC card or be able to obtain a TWIC card.
  • Minimum five (5) years of experience in an administrative support role.
  • High school diploma or equivalent
  • Proven IT skills and ability to demonstrate a working knowledge of MS Office (Word, PowerPoint, Excel, and Outlook)
  • Ability to multitask, prioritize, and plan to meet tight deadlines to achieve required targets
  • Excellent organization, communication, and ability to maintain effective, robust working relationships

Responsibilities

  • Responsible for administrative duties for Environmental, Process Safety, Occupational Safety, and Emergency Response Departments.
  • Work with department managers to track regulatory deadlines and ensure deadlines are met for compliance reports, correspondence, regulatory fees, and penalties.
  • Check request submittal and tracking
  • Managing all credit card purchases for lunch meals, safety awards, supplies, etc.
  • Keeps a list of all charges for the contractor safety coordinator.
  • Assist department manager with maintaining regulatory files and documents.
  • Work with department managers to develop and track budgets including use of SAP and ensure that invoices and fees are properly coded.
  • Assist with scheduling meeting and conference room bookings.
  • Complete visitor Requests.
  • Organize various events such as the Emergency Response Team (ERT) banquette and Health, Safety & Environmental (HSE) training including securing locations, room setup, meals, and cleanup.
  • Coordinating arrangements for visitor(s) to the office, which includes preparing the agenda, printing and or scanning material documents, organizing site access, greeting and escorting the visitor(s) as needed.
  • Order, organize, and manage department office supplies and materials.
  • Provide EOC support during emergencies both while on shift and on call.
  • Provide backup support for other MRC admins.
