About The Position

The Senior Accountant supports the Accounting Services Director in carrying out the duties of the Finance Department. This position is responsible for providing financial information by maintaining revenue, researching and analyzing accounts and preparing statistical information. This position serves as backup for creating and processing accurate, detailed, and timely financial records for Science Museum Oklahoma.

Requirements

  • A Bachelor’s degree in accounting, or a Bachelor’s degree in business with emphasis in accounting.
  • Minimum 3 years of general accounting experience or an equivalent combination of education or experience.
  • Minimum 4 years of generalized museum industry experience or an equivalent combination of education or experience.
  • Must have advanced knowledge of Excel.
  • Must have a working knowledge of accounting software.
  • Must have working knowledge of POS systems.
  • Ability to work independently as well as in teams.

Nice To Haves

  • Preference will be given for working towards CPA accreditation or obtained CPA accreditation.
  • Experience with spreadsheet analysis, reconciliations, and knowledge of business sales processes preferred.

Responsibilities

  • Run daily report and balance out Admission and Science Shop/Gift Shop from the point of sales (POS) system
  • Post daily receipts for cash, checks, and credit cards (Admissions and Science Shop/Gift Shop)
  • Post deposits for checks received in the mail such as Donations, A/R checks, etc.
  • Post deposits for change orders, Harmonograph, petty cash, etc.
  • Post month-end journal entries for Admissions and Science Shop/Gift Shop
  • Verification of any pending bookings that need to be recognized – daily/monthly
  • Export and create various POS reports within excel
  • Resolve discrepancies with credit cards
  • Resolve discrepancies for Admissions and Science Shop
  • File and Maintain ADM reports, Cash and credit card receipts, Invoices, A/R
  • Standard and accrual journal entries when required
  • Invoice various vendors originated from POS
  • OERB Field Trips – Invoice purchase orders
  • Keep track of OERB invoices and payments on spreadsheet
  • Post deposits
  • Outreach Invoice purchase orders
  • Keep track of Outreach invoices and payments on spreadsheet
  • Post deposits
  • Work closely with the Development department to ensure all donations/grants are maintained in CRM software for retention as well as track grant recognition and reporting
  • Collections – analyze and administer Aging report
  • Assist with weekly safe counts
  • Prepare check requests when necessary
  • Search documents for yearly audit and on an as needed basis
  • Track Museum statistics such as the Visitor Count by Program, the 13 Month Comparison and the Admissions by Category reports.
  • Track Traveling Exhibits daily stats and revenue
  • Responsible for monthly balance sheet recons assigned
  • Process End of the Year Stats Recon
  • Back-Up the Disbursement Specialist & Cash Controls
  • Assume other responsibilities and tasks as assigned for the success of the museum.
