About The Position

We are seeking a detail-oriented Senior Accountant, Grants Administration, to join our grants administration team within the Finance Department. Reporting to the Controller, this role will be instrumental in establishing and maintaining our grants management infrastructure during a period of significant portfolio growth, including the implementation of a Grants Management system. This position will help manage a diverse portfolio, including both federal and non-federal funding streams

Requirements

  • Bachelor's degree in business administration, Finance, Accounting, or related field.
  • 3 or more years of experience in grants management in the non-profit sector.
  • Proven knowledge of accounting theory and practice, particularly non-profit accounting, reporting, and Uniform Guidance regulations and compliance. Experience with non-profit accounting preferred.
  • Demonstrated experience with federal grants management and compliance requirements (e.g., OMB Uniform Guidance.)
  • Strong process development and standardization skills.
  • Advanced proficiency in Excel and experience with an accounting system. NetSuite experience a plus.
  • Excellent project management skills with ability to manage multiple priorities.
  • Strong analytical skills with attention to detail with focus on minimizing errors; ability to communicate corrections or changes in a proactive and productive manner and the ability to interpret complex financial data.
  • Outstanding communication and stakeholder management abilities.

Responsibilities

  • Review and analyze proposal budgets for compliance with funder requirements and organizational policies.
  • Provide budget development guidance to program teams during proposal preparation.
  • Support cost analysis and budget justification development.
  • Assist in evaluating institutional commitments and resource requirements for new proposals.
  • Review indirect cost applications and cost-sharing commitments.
  • Develop and maintain an in-depth understanding of funding mechanisms, funder requirements, budget conditions and spending status for all grants and awards.
  • Assist with managing the day-to-day post-award administration and financial compliance of grants from setup to closeout.
  • Monitor grant expenditures to ensure allocability and allowability in accordance with donor and organizational policies.
  • Assist with the management for the subgrantee monitoring processes, collecting, and analyzing data, documenting results, including initial review and risk assessment of potential subgrantee's operational and organizational risk, review of subgrantees' Audits, and review of subgrantee audit findings.
  • Review and approve expenditures and process cost transfers as needed.
  • Prepare and analyze accurate and timely financial reports for internal stakeholders and external funders. Attend and actively participate in grant-related meetings, as assigned.
  • Support budget development and expenditure forecasting processes, including assisting with the maintenance of pipeline and burn rate spreadsheets for all of UWW's grant funded programs.
  • Assist with timely financial closeout of grants according to the funder's requirements and UWW policy, and reconcile all final deliverables and payments, in conjunction with finance and program staff.
  • Assist with the creation of the indirect cost rate proposal/determine the use of the de minimis rate and related final analysis and reporting.
  • Assist with the standardization of grants management processes and procedures across the organization.
  • Support the implementation and optimization of our new Grants Management System.
  • Help develop and maintain comprehensive grant monitoring procedures.
  • Support the development of institutional policies and procedures for grants management.
  • Collaborate with program teams to provide day-to-day operational support and financial guidance.
  • Partner with key stakeholders and provide guidance and training for UWW staff, contractors, and subgrantees, at either the start of their employment or the start of a new grant or as needed, to ensure effective compliance with relevant federal rules and.
  • Provide guidance to program staff on expense allocability and allowability.
  • Support grant modifications including no-cost extensions, budget reallocations, and scope changes.
  • Assist in building federal grant infrastructure and compliance frameworks.
  • Support annual audit processes and help establish risk mitigation strategies.
  • Coordinate with relevant offices on subgrant set-up and monitoring when applicable.
