About The Position

Carnegie Mellon University is seeking a Senior Academic Program Manager for the Mathematical Sciences Department within the Mellon College of Science. This role will work closely with the Director of Undergraduate Studies, Department Head, and other faculty to support students in various degree programs and general mathematics courses. Requirements

  • Bachelor’s Degree required.
  • Minimum 5 years of experience of academic advising and/or academic program management required.
  • Strong relationship building, organization, problem-solving and reasoning skills required.
  • Successful completion of a pre-employment background check.

  • Education marketing/outreach and/or distance education program experience preferred.
  • Strong financial acumen skills preferred.
  • A combination of education and proven experience from which comparable knowledge is demonstrated may be considered.

Responsibilities

  • Administer courses, rosters, and registration processes in S3, including course setup, waitlist management, prerequisite enforcement, and exception handling.
  • Generate reports for enrollment tracking and maintain departmental academic records, including placement exams and special topics.
  • Serve as the primary liaison to the Registrar’s Office, coordinating exam scheduling, classroom changes, degree certification, and communicating updates to faculty.
  • Support curriculum management by maintaining catalog and audit systems (e.g., Stellic), coordinating Undergraduate Curriculum Committee (UCC) meetings, tracking policy changes, and preparing materials for college-level review.
  • Coordinate faculty advisor assignments, monitor student academic progress, and manage departmental communications (listservs, announcements).
  • Support key milestones such as graduation reviews and Dean’s List verification.
  • Provide operational support for instruction, including course evaluations, grading timelines, TA coordination (training, access, logistics), course materials, and documentation for faculty reviews and awards.
  • Plan and execute the undergraduate diploma ceremony, including vendor coordination, communications, logistics, and program production.
  • Track student progress, coordinate thesis defenses, and maintain academic records for graduate or honors programs.
  • Support departmental events, student activities, and special programs (e.g., colloquia, competitions, TA initiatives).
  • Assist with specialized program admissions (e.g., BSCF), and support alumni engagement, tracking, and communications.
  • Perform other duties as assigned in support of departmental operations.
