About The Position

The primary purpose of this role is to ensure the efficient operation of office routines and practices within a busy school environment, contributing to the overall educational process. This position requires strong organizational, communication, and interpersonal skills to manage various administrative tasks effectively.

  • Typing speed of at least 40 WPM
  • Proficiency in using software to develop spreadsheets, databases, and financial applications

  • Ability to perform a variety of tasks, often changing assignments on short notice
  • Ability to work well with students, parents, community members, and campus staff
  • Two years of successful experience as a secretary or prior experience in bookkeeping

Responsibilities

  • Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations.
  • Maintain a daily teacher attendance log and records for substitute teachers.
  • Monitor and process time records, including leave requests and reports.
  • Compile information and submit payroll according to established procedures and deadlines.
  • Type teacher bulletins, faculty directory information, reports, memos, and monthly statements.
  • Update the faculty handbook and other campus-based information.
  • Handle incoming and outgoing telephone calls, record messages, and route calls as necessary.
  • Answer questions from callers and visitors according to school policy.
  • Inform the principal of dates, appointments, and phone calls.
  • Assist with communications to home schools regarding student placements, grades, attendance, and withdrawals.
  • Respond to correspondence and calls from parents, schools, and law enforcement entities concerning student placement.
  • Maintain campus inventory, type requisitions, and distribute campus supplies.
  • Administer medication to students, check temperatures, and notify parents of student illness in the absence of the nurse or health room clerk (as needed).
  • Compile, maintain, and file all required reports, records, and other documents.
  • Maintain student records, including entries and withdrawals, according to established procedures.
  • Assist the counselor's clerk as needed.
  • Assume responsibility for all files and process incoming correspondence.
  • Prepare and make deposits for activity account(s).
  • May be responsible for maintaining activity check register(s) and ledger(s).
  • Assist with campus budget preparation and maintain accurate records of expenditures.
  • Prepare and process purchase orders and receive, store, and issue supplies and equipment.
  • Maintain all daily records of student attendance and PEIMS information for school, local district, and state reports.
  • Receive, read, sort, file, and deliver all incoming school and U.S. mail and other documents to staff.
  • Operate various machines for report figuring, duplicating materials, and teaching/classroom use.
  • Clean machines and perform minor repairs, or report major malfunctions.
  • Maintain confidentiality of information.
  • Follow district safety protocols and emergency procedures.
  • Comply with policies established by federal and state laws and regulations, and local board policy.
  • Perform other duties as assigned.
