About The Position

As a secretary, you will provide support to management in carrying out secretarial duties, as well as certain administrative tasks. You will fulfill the following functions: Provide administrative and operational support to financial advisors and the management of the financial center. Coordinate activities related to recruitment, onboarding, career changes, and departures of advisors and their support staff. Manage the creation, updating, and tracking of administrative files, access, technological tools, and various corporate platforms. Follow up with various internal partners regarding permits, accreditations, contracts, compensation, and regulatory compliance. Ensure the management and updating of various databases, distribution lists, directories, CRM systems, and administrative documents. Support advisors in their current administrative needs, including status changes, access requests, commission follow-ups, and management of their work tools. Participate in customer relationship management by carrying out certain administrative follow-ups, responding to requests, and coordinating various support operations. Coordinate advisors' marketing and visibility activities (microsites, social media, communications, promotional materials, and presentation tools). Organize and coordinate various financial center events, recruitment activities, team meetings, training sessions, and initiatives promoting employee engagement. Ensure the management of supplies, materials, inventories, mail, and facilities of the financial center. Collaborate on the continuous improvement of administrative processes and participate in various special projects or management committees. Ensure the management of shared mailboxes, calendars, service requests, and administrative communications of the financial center.

Requirements

  • Hold a college diploma in office technology or equivalent.
  • Accumulate a minimum of twelve (12) months of relevant experience.
  • Mastery of the French language, both spoken and written.
  • Proficiency in software applicable to the function.
  • Selected candidates will be required to undergo a French test and a Word test.
