About The Position

This position, located at the OKC VA HCS, serves as a Secretary to the Medical Center PENTAD member assigned to direct the activities of clinical services and programs of this tertiary care facility.

Requirements

  • Must serve a 1-year probationary period or 2-year trial period.
  • Must type 40 words a minute.
  • Must reside within 50 miles of the main Oklahoma Health Care System facility.
  • Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07 level.
  • Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
  • Knowledge of a basic foundation of administrative concepts, principles and practices sufficient to perform independent duties involving elimination conflict and duplication of work, determining when new procedures are needed, studying and evaluating office equipment, and recommending restructuring of clerical activities in the office and subordinate offices.
  • Skill in adapting polices and procedures to emergency situations and establishing new procedures to meet new situations.
  • Skill in recognizing how and when certain policies, procedures, or guidelines would be confusing to others.
  • A comprehensive knowledge of the supervisor's policies and views on all significant matters affecting the organization.
  • Proficiency Requirement (Typing): Applicants must meet the proficiency requirement for this position of typing at least 40 words per minute.

Responsibilities

  • Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public.
  • Acts as liaison to other managers and staff within the organization and provides accurate advice on procedures, reports, requirements, and other matters necessary to implement the supervisor's policies, directives, and instructions.
  • Informs them of the supervisor's views on current issues and programs.
  • Processes incoming and outgoing materials such as correspondence, reports, memorandums, and other forms of written communication.
  • Edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries.
  • Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information.
  • Schedules appointments, coordinates meetings, and/or schedules conferences.
  • Provides general calendar maintenance, clerical services such as maintaining calendars and recording appointments, arranging for meeting and small conference administrative details, or following up on action items with appropriate staff members independently.
  • Attend meetings, notes commitments made, informs staff of commitments, and arranges for staff to implement commitments during the meetings.
  • Arranges for meeting space, speaker, and support arrangements for large conferences. This includes the performance of such activities as writing letters to the speakers and participants, arranging hotel accommodations, transportation to a from the meeting site, social arrangements, and secretarial/clerical support.
  • Obtains and monitors the use of services, supplies, or equipment for the office.
  • Acquires the equipment and services using procedures to procure, authorize, control, and justify these purchases.
  • Serves as timekeeper for multiple offices.
  • Performs other related duties as assigned and must be able at a minimum type 40 words a minute.
  • Must reside within 50 miles of the main Oklahoma Health Care System facility.
