About The Position

The Sierra Vista Unified School District is seeking a dedicated Secretary for its Business Department. This role involves a variety of secretarial and general office duties, including managing transportation and food services billing, handling daily mail, processing cash, check, and credit card payments, and responding to inquiries. The Secretary will be responsible for maintaining accurate reports, files, and records for audit compliance, ensuring adherence to state and federal regulations, and verifying monthly district credit card purchases. Additionally, the position requires managing business office supplies and requisitions. The ideal candidate will possess strong organizational, communication, and computer skills, with a minimum of two years of related experience. Requirements

  • High School Diploma or equivalent
  • Minimum of two years' experience in related area performing secretarial or general office work in an office with considerable public contact, or an equivalent combination of experience, education and/or training that demonstrates desired knowledge, skills and abilities
  • Working knowledge of computer word-processing and Microsoft Office applications, and Google
  • Ability to obtain a valid Arizona IVP Fingerprint Clearance Card
  • Professional written and verbal communication skills
  • Strong organizational and record-keeping skills
  • Ability to follow written and verbal instructions
  • Skill in establishing and maintaining effective working relationships and ability to work cooperatively and courteously with staff, students, parents, and community members

Responsibilities

  • Complete duties associated with transportation and food services billing.
  • Responsible for checking, sorting, and distributing mail daily.
  • Accept cash, check, and credit card payments, to include log payments and provide receipts.
  • Respond to various inquiries and provide general information related to business office via phone and other means of communication.
  • Maintain applicable reports, files, and records to provide up-to-date references and communication trail for audit compliance.
  • Comply with all applicable state and federal regulations, policies, and procedures relating to district finance and school business management.
  • Verify all monthly district credit card purchases against credit card statement to include filling associated documentation.
  • Responsible to maintain business office supply stock and enter business office requisitions.
  • Utilize, with fidelity, the District Positive Behavior Intervention Support (PBIS) program at the building level.
  • Ensure information obtained through the course of duties associated with this position, is held in the highest of confidentiality.
  • Perform all duties in accordance with Federal and State laws, district procedures, and Board policies; including mandatory reporting procedures.
