About The Position

Provides advanced administrative support to an Amentum, Program Manager. This role is responsible for providing principal secretarial support in the office of the Program Manager and potentially to their subordinate staff. The position involves managing calendars and schedules, preparing for meetings, and maintaining a responsive relationship to the day-to-day activities of the Program Manager. Additionally, the role assists department personnel with administrative tasks such as expense vouchers, reservations, and lodging arrangements. The Secretary III also reviews outgoing materials for consistency and conformance with procedures, manages administrative supplies, and performs routine administrative duties like typing, mailing, and filing. They are responsible for preparing various documents according to established policy and handling visitor inquiries.

Requirements

  • High School diploma plus formal specialized training.
  • Six (6) years of experience in a related field.
  • Preferable as a Secretary.
  • Ability to interact professionally with all levels of employees and customers.
  • Ability to work independently with good decision-making skills.
  • Knowledge of various computer applications (ex: Word, Excel, PowerPoint, Access, etc.).
  • Excellent communication and people skills.

Responsibilities

  • Provides principal secretarial support in the office of the Program Manager and in some cases, also to the subordinate staff of the PM.
  • Responsible for calendars and schedules of the PM and related management.
  • Schedule and prepare Program Manager meetings, internal or external, as requested by the PM.
  • Maintains a close and highly responsive relationship to the day-to-day activities of the PM.
  • Assist department personnel with expense vouchers, reservations, lodging, airline, rental car and other administrative support.
  • Reviews outgoing materials and correspondence for internal consistency and conformance with established procedures.
  • Responsible for administrative supplies for department.
  • Perform day to day routine administrative duties such as typing, mailing, filing, and other duties as assigned.
  • Prepare various documents in consonance with established policy.
  • Refers, or personally attends, to visitor inquiries and actions that do not require the PM’s attention.
  • Performs other duties as assigned.
