About The Position

This position is responsible for performing a variety of clerical and secretarial work necessary for the smooth operation of the Department. The role involves preparing correspondence, letters, memos, and reports, and maintaining databases for office operations. Additionally, the Secretary I will prepare minutes for meetings, file and record information, answer telephones, and provide general information regarding office operations and services. The position also handles processing incoming/outgoing mail and coordinating special projects.

Requirements

  • High school diploma or G.E.D., required supplemented by additional secretarial courses preferred.
  • Two (2) years’ experience performing clerical work in an office environment; OR Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
  • Valid State Driver’s License

Responsibilities

  • Performs a variety of clerical and secretarial work necessary for the smooth operation of the Department.
  • Prepares correspondence, letters, memos, and reports.
  • Maintains databases necessary for office operations.
  • Prepares minutes for meetings.
  • Files and records information.
  • Answers the telephone and provides general information regarding the office operations and/or services.
  • Processes incoming/outgoing mail for an assigned area.
  • Coordinates special projects and Christmas projects.
  • Type correspondence, minutes, newsletters, bulletins and/or reports in an accurate and timely manner.
  • Prepares, types and processes correspondence, statistics, check requests, forms, agendas, schedules, minutes, etc.; ensures the accuracy, completeness and timeliness of the same.
  • Prepares and maintains office records, reports, calendars, databased, logs, lists, etc. in an accurate, complete and timely manner; updates, posts and indexes information and inputs data into the computer to maintain office database records; research office files to locate specific information found in documents, correspondence, lists, forms, etc. in order to prepare specific reports.
  • Prepares and proofs various routine reports; compiles and records information and statistics necessary to generate routine reports; proofs reports for errors and to ensure they are grammatically correct.
  • Answers telephone in a courteous and tactful manner; greets and assists employees and people from outside The Salvation Army; provides accurate and complete information regarding the office operations and/or services.
