The Secretary I provides administrative and clerical support within an organizational unit operating under straightforward procedures and informal administrative controls. This role independently carries out recurring office procedures while receiving direction on new or unique assignments. The Secretary I supports supervisory staff through routine coordination, document preparation, and office management activities. Requirements

  • Approximately two (2) or more years of experience in administrative or secretarial roles.
  • Ability to carry out recurring office procedures independently.
  • Familiarity with standard office guidelines and administrative controls.
  • Proficiency in word processing and general office software applications.
  • Strong attention to detail and organizational skills.
  • Ability to follow supervisory guidance on new or unique assignments.
  • Effective written and verbal communication skills.
  • Ability to maintain routine internal records and documentation accurately.

Responsibilities

  • Respond to routine telephone inquiries that have established or standard answers.
  • Refer calls and visitors to appropriate personnel as needed.
  • Control incoming and outgoing mail and ensure timely staff response.
  • Prepare and distribute form letters and routine correspondence.
  • Maintain supervisor’s calendar, schedule appointments, and coordinate meeting arrangements as instructed.
  • Review materials prepared for supervisory approval for typographical accuracy and proper formatting.
  • Maintain recurring internal reports such as time and leave records, office equipment listings, correspondence logs, and training plans.
  • Requisition office supplies, printing services, maintenance support, and other operational services.
  • Type documents, take and transcribe dictation as required.
  • Create, organize, and maintain office filing systems (electronic and paper).
  • Perform other recurring administrative duties in support of office operations.
