About The Position

Under general supervision of the assigned building administrator, this position provides general secretarial services for the guidance office staff and other offices as assigned. The role involves serving as the office receptionist, preparing and forwarding student records, maintaining student files, compiling data for funding purposes, assisting with student materials and locker coordination, managing testing materials, assisting counselors with registration and scheduling, processing student reports and applications, preparing correspondence, assisting with schedules, and potentially aiding with graduation preparation. The position also involves training and supervising student office assistants and providing limited assistance in the health office when the school nurse is absent. Other duties may be assigned as necessary.

Requirements

  • High school diploma or equivalent.
  • Completion of secretarial training.
  • Two (2) years of successful secretarial experience that included data entry and use of word-processing software.
  • Knowledge of general office management techniques.
  • Knowledge of correct grammar, spelling, and English usage.
  • Ability to keyboard at 60 wpm.
  • Ability to use word-processing software in a Windows environment.
  • Ability to work with and communicate effectively with students, parents, building staff, coworkers, volunteers, and the public in a diverse environment.
  • Ability to maintain confidentiality of student records.
  • Ability to prioritize own work, accomplish a variety of tasks, and work independently.
  • Ability to lift 20 pounds.
  • Fingerprinting and background check.
  • First aid and CPR Card within six (6) months of hire.

Responsibilities

  • Serves as office receptionist, greeting students, parents, and visitors, and providing assistance or referrals.
  • Answers and responds to telephone inquiries or requests for assistance.
  • Prepares and forwards records of withdrawn students.
  • Evaluates student records, copies, distributes, and/or mails transcripts.
  • Maintains, reviews, edits, and files student records, including purging files as needed.
  • Compiles Federal Survey information and prepares student counts for district and federal funding purposes.
  • Assists with distribution of student handbooks and materials, coordinating locker usage and maintaining student locker records.
  • Maintains testing materials, processes test scores, and assists with the administration of SAT tests for students.
  • Assists counselors with student registration and scheduling.
  • Screens and analyzes all student health immunization records.
  • Processes student progress reports, homework requests, transcript requests, letters of recommendation, college and scholarship applications, and inquiries from outside agencies and employers.
  • Prepares correspondence and documents using word processing software.
  • Maintains and operates standard office equipment.
  • Assists with the development and maintenance of various student, building, and transportation schedules.
  • May assist with graduation preparation and planning.
  • Trains and supervises student office assistants.
  • Provides limited assistance in the health office in the absence of the school nurse.
  • Performs other duties as assigned.
