About The Position

This is a 12-month secretarial/clerical position within the Transportation Department of the Erie School District. The role involves assisting with bus route scheduling, communication with parents and drivers, handling emergencies, managing payroll input, and other administrative tasks. The position is 35 hours per week, with specific shift details and potential adjustments based on school district operations. The employee will report to the Transportation Manager and Director of Non-Instructional Support Services.

Requirements

  • Familiarity with Infinite Campus, Zonar "GPS" Program software, Traversa Routing software, Microsoft Office Suite, and My Stack Payroll system.

Responsibilities

  • Assist in the routing and scheduling of bus routes and activity runs.
  • Communicate with parents and guardians of students.
  • Relay information to appropriate bus driver.
  • Contact the ESD Police or Erie City Police when problems of a serious nature occur on school buses.
  • Notify school or parent of emergency situations of students while being transported.
  • Keep Transportation Manager advised of any situation that may require attention or assistance.
  • Document bus arrival and departure time at school and total number of students for appropriate school.
  • Contact school when student missing from bus prior to bus departing the school.
  • Relay information received to driver.
  • Responsible for locating parent or guardian of student when "no one is home" to receive child and stay until the situation is resolved and the child is returned home or to another authorized designation and also maintain a log of all returned students.
  • Field phone calls for all departments and transfers to appropriate location within the Service Center and Administration Building.
  • Distribute and log the use of fuel cards and vehicle keys.
  • Issue bus passes and keep an accurate accounting of all money collected and submit to proper department on a weekly basis.
  • Collect monthly copies of driver's licenses to be submitted to Transportation Manager for monthly background checks.
  • Work with payroll and supervisors on the My Stack or other payroll system.
  • Work with payroll and advise of employees' new schedules and locations.
  • Review absence forms with supervisors for their approval and input into time keeping system.
  • Employee time reviewed daily and hours noted for daily overtime and field trip overtime.
  • Meet with supervisor regarding missing employee punches in time keeping system.
  • Field phone calls involving contracted transportation services.
  • During the winter field daily calls from schools concerning plowing concerns and contact appropriate personnel to correct problems.
