About The Position

Ensure efficient operation of school administrative office and provide clerical services for school’s administrative staff. This role involves managing records, correspondence, reception, basic accounting, and inventory. The secretary will also assist with campus activities, administer medication in the nurse's absence, and maintain confidentiality. The position requires adherence to district policies and safety protocols, as well as maintaining technology competence. The secretary will monitor the work of campus secretaries and clerical aides. Performance will be evaluated based on board policy for Non-Instructional Paraprofessional Personnel. The role may involve prolonged or irregular hours and district-wide travel. The work environment is temperature-controlled with hard surface floors. Mental demands include working with frequent interruptions and maintaining emotional control under stress.

Requirements

  • High school diploma or GED
  • Qualifies for state paraprofessional certification
  • Proficient keyboarding and file maintenance skills
  • Knowledge of school district organization, operations, and administrative policies
  • Ability to maintain accurate and auditable records
  • Knowledge of basic accounting principles
  • Ability to follow verbal and written instructions
  • Ability to perform a variety of tasks often changing assignment on short notice
  • Effective organizational, communication, and interpersonal skills
  • Ability to use software to develop spreadsheets, databases, and do word processing
  • Ability to multi-task complex administrative activities
  • Five (5) years’ experience as a secretary

  • Alief secretarial experience preferred

Responsibilities

  • Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements.
  • Prepare instructional materials as requested.
  • Maintain a daily teacher attendance log and records for substitute teachers.
  • Monitor and process time records including leave requests and reports.
  • Compile information and submit to central office according to established procedures and deadlines.
  • Maintain school calendar of events.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Maintain student records according to established procedures.
  • Sort, distribute, or deliver mail and other documents.
  • Monitor the overall building maintenance.
  • Maintain compensatory time documentation.
  • Receive incoming calls, take reliable messages, and route to appropriate staff.
  • Assist students, teachers, and parents as needed.
  • Schedule meetings and appointments and maintain calendar for principal.
  • Prepare and make cash deposits for activity account(s).
  • May be responsible for maintenance of activity check register(s) and ledger(s).
  • Assist with campus budget preparation and maintain accurate records of expenditures.
  • Prepare and process purchase orders and receive, store, and issue supplies and equipment.
  • Maintain inventory of fixed assets, equipment, and supplies.
  • Assist principal by inputting and tracking campus budget throughout the fiscal year.
  • Comply with policies established by federal and state laws and regulations, and local board policy.
  • Assist with planning, preparation, and setup of faculty meetings and campus activities.
  • Administer medication to students, check temperatures, and notify parents of student illness in nurse’s absence.
  • Maintain confidentiality.
  • Follow district safety protocols and emergency procedures.
  • Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
  • Implement alternative methods of instruction as needed.
  • Perform other duties as assigned.
  • Monitor the work of campus secretaries and clerical aides.

Benefits

  • Salaries are determined by the number of completed and eligible years of service at an accredited school.
  • Salary is based on 220 days. If working less than 220 days, the salary will be less.
