About The Position

The Maine Legislature’s Office of Fiscal and Program Review, a nonpartisan staff office of the Legislative Council, is seeking applicants for a Secretary position. Employees in this position work in our Augusta Office, value public service, conduct themselves in a highly confidential, professional, nonpartisan manner, and are enthusiastic about supporting the important work of the Maine Legislature. This position provides clerical support to the office, the Joint Standing Committee on Appropriations and Financial Affairs, and other committees as necessary.

Requirements

  • High school diploma required; supplemented with secretarial courses or any equivalent combination of education and at least 1 year of experience.
  • Proficiency with Microsoft Word, Outlook, Excel, and Adobe Acrobat.
  • Ability to learn new processes and computer applications quickly.
  • Ability to perform varied secretarial tasks in a fast-paced environment while maintaining attention to detail and accuracy under short deadlines.
  • Strong office organizational and multitasking skills.
  • Ability to work effectively as a member of a team.
  • Strong interpersonal, communication, and customer service skills.

Nice To Haves

  • Experience in setting up and running Zoom electronic meetings is a plus.
  • Willingness to work overtime when needed and sometimes with limited advance notice.

Responsibilities

  • Provides secretarial support to the office and is the clerk for the Joint Standing Committee on Appropriations and Financial Affairs.
  • Performs secretarial and reception duties for the office and the committee, including general typing, filing, copying, scanning, answering, and directing phone calls, and all other duties as assigned.
  • Prepares advertising, notices, schedules, and routine correspondence for the committee.
  • Distributes committee material in-person or electronically as needed and prepares the committee room for in-person and electronic meetings.
  • Tracks bills, updates records, files, reports, and all other assignments necessary to conduct committee business.
  • Communicates regularly with legislators, lobbyists, and members of the public.
