About The Position

As a Secretary Associate at the Bureau of Alcoholic Beverages and Lottery Operations (BABLO), you will provide direct administrative support to both the liquor and lottery programs, contributing to operations that generate essential revenues and keep Maine people safe. This position requires consistent attention to detail, strong organizational skills, customer service orientation, and the ability to work independently while supporting the Bureau’s leadership team.

Requirements

  • Ability to: Schedule, coordinate, and document meetings with multiple stakeholders.
  • Manage financial transactions, invoices, and documentation accurately.
  • Communicate effectively in writing, including preparing meeting minutes, correspondence, and standard business documents.
  • Provide customer service at a public-facing window, by phone, and by email.
  • Prioritize tasks, manage multiple assignments, and work both independently and as part of a team.
  • Use electronic systems including Zoom, the Microsoft Office Suite, MainePays, and AdvantageME.
  • Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of the principles and practices of office processes and administrative functions to perform complex secretarial support tasks, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters.

Responsibilities

  • Serve as a first point of contact at the customer service window, assisting the public.
  • Process invoices, payments, and lottery prize claims; manage purchasing and bill payment functions for the bureau.
  • Schedule, notice, and take minutes for meetings of the Liquor and Lottery Commission.
  • Assist with legislative communications, scheduling, and documentation for hearings and committee meetings.
  • Order office supplies, maintain records, and assist with internal communications across the bureau.
