About The Position

Under the direction of the Principal, the Principal Secretary encompasses a variety of individual positions responsible for providing a variety of administrative and secretarial support functions for a Building Administrator where duties will vary from building to building. Positions assigned to this classification perform such representative tasks as: serving as the building office support lead; demonstrating an understanding of all building administrative support functions; serving as a liaison between building staff and the public; performing a variety of recordkeeping and database management activities; coordinating the Building Administrator’s schedule, appointments and correspondence; assisting in the monitoring of building budgets and preparing purchase orders; coordinating the scheduling of paraprofessional and teaching substitutes; coordinating and making arrangements for special events/projects within the building.

Responsibilities

  • Provides administrative support to the building administrator and serves as a resources and building lead for office support personnel.
  • Prioritizes daily activities, divides and delegates workload between office staff.
  • Schedules and maintains the Principal’s calendar.
  • Schedules teacher observations, meetings or appointments.
  • Screens incoming calls, schedules appointments, and directs individuals to appropriate persons, as needed.
  • Proofs, edits and prepares correspondence and documents for the Building Administrator.
  • Files and maintains correspondence files.
  • Maintains and monitors the budget records for the Principal.
  • Codes expenditures, prints budget reports and tracks individual department budgets.
  • Enters purchase orders and submits purchase orders to the Business Office.
  • Prepares deposits from monies collected from field trips, activity nights, sports, extra-curricular activities, fundraisers, yearbooks, or other activities and submits to Business Office.
  • Answers phones, screens calls, addresses questions from staff, students, parents or the public (e.g. Family Access questions, delivers messages, etc.).
  • Monitors, inputs staff absences, leaves and staff request forms.
  • Summarizes and submits data to payroll office.
  • Assists in organizing and making arrangements for special events (e.g. commencement, parent/student/staff handbooks.
  • Performs a wide variety of recordkeeping and building level database management responsibilities.
  • Maintains student records on Skyward by scheduling, updating and reporting grades.
  • Resolves student report errors/warnings issued by the State of MN MARSS systems.
  • Identifies, addresses and initiates changes and corrections.
  • Assists and/or enters and reports student information to the State regarding homeless, shared-time, special education students; state numbers and transportation and other data requested by the State.
  • Compiles, updates classroom inventories by teacher for textbooks
  • Oversees the substitute scheduling system (AESOP).
  • Monitors system to assure coverage and, if necessary, contacts and schedules certified and non-certified substitutes.
  • Assigns extra duty hours to in-house staff if substitutes are unavailable.
  • Reviews and submits substitute employee times cards to payroll.
  • Performs other duties of a comparable level or type, as required.
