About The Position

The second secretary is responsible for providing secretarial support services to the principal and head secretary. This role involves assisting with administrative tasks, managing scholar attendance and data, processing financial information, and interacting with various school stakeholders. The position is shared between Burton Elementary and Burton Middle School.

Requirements

  • High School diploma or equivalent
  • One year of successful previous secretarial experience
  • Ability to work well with others and participate as a member of the team
  • Excellent written and verbal communication skills
  • Dependable attendance and punctuality
  • Outstanding organizational abilities and good time management
  • Experience working with computers
  • Strong public relations skills with the ability to engage professionally and courteously with school stakeholders, including students, parents, teachers, and the community
  • Ability to work in a diverse environment
  • Stands and/or walks during most of the working day.
  • Turns, stoops, climbs, bends, pushes, pulls, reaches for and carries materials and equipment in the performance of tasks.
  • Must be able to lift a minimum of 40 pounds.
  • Must be able to work outside for extended periods (up to the entire eight-hour shift) in all weather conditions.
  • Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.
  • While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing in the English language, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile, and negotiate.

Responsibilities

  • Assist with the scheduling of appointments and maintain calendar for building administrator
  • Assist the building administrator with various tasks including message handling, written communications, answering mail, filing, and scheduling
  • Assist with recording all scholar daily attendance when required
  • Assist with the recording of scholar data information in school file and files for pupil personnel as they enroll or drop
  • Maintain the computerized scholar information system
  • Process and deliver bank deposits
  • Receive and send school records
  • Assist with attendance when required
  • Work with scan sheets for report cards, coordinate distribution, etc.
  • Interact with co-workers, administration, scholars, parents and the community in positive, supportive and cooperative ways
  • Performs other duties as assigned
